As a Business Operations Specialist, you will provide essential, full-time, on-site operational and administrative management. You will act as a critical operational anchor that role splits time between supporting the Director/Front Office Group (FOG) and the Initiatives Section. Your primary focus will be to maintain operational continuity, facilitate cross-cutting of AFWERX requirements, provide dedicated surge and backfill coverage for the lead FOG Specialist, and serve as a proactive Action Officer to drive leadership directives to completion.

Responsibilities:
Front Office Operations & Specialist Continuity
  • Maintain full-time, on-site presence in the FOG area to ensure daily operational continuity.
  • Serve as the primary surge capacity and direct backfill for the lead FOG Business Operations Specialist.
  • Manage visitor processing, guest check-ins, and security escorts for partners and contractors.
  • Oversee scheduling, preparation, and resets for high-priority FOG conference rooms.
  • Coordinate logistics and protocol for VIPs, senior leaders, and official visits.

Action Officer & Organizational Workflow Management
  • Translate leadership directives into defined, actionable tasks with clear success metrics; coordinate execution across stakeholders to completion.
  • Manage, route, and track organizational taskers and workflow deliverables across AFWERX.
  • Perform rigorous document quality control on outgoing correspondence, Staff Summary Sheets (SSS), and briefing materials for formatting, grammar, and policy alignment prior to leadership review.

Facility, Logistics & Administrative Oversight
  • Monitor and maintain inventory levels for operational equipment, office supplies, and printing resources in FOG spaces.
  • Maintain current AFWERX recall rosters, emergency contact lists, and personnel accountability logs.
  • Facilitate onboarding and offboarding processes, maintaining up-to-date checklists to smoothly transition incoming and outgoing personnel.
  • Manage the complete lifecycle of organizational records, from creation through secure archiving or disposition.
  • Support broader, cross-cutting AFWERX initiatives alongside primary FOG duties.

Qualifications Required:
Education: Bachelor's degree
Experience:
  • At least 3-5 years of experience in a related

Skills:
  • Workflow & Task Tracking: Route, track, and complete organizational taskings as an Action Officer.
  • Logistics & Facilities: Manage physical inventory, supply budgets, printing resources, and meeting spaces to ensure operational readiness.
  • Protocol & Events: Coordinate visitor logistics, VIP visits, and distinguished guest hospitality per official guidelines.
  • Records Management: Maintain, archive, and dispose of official records in compliance with federal and defense standards.
  • DAF & AFWERX Processes: Familiar with Air Force structures, command workflows, and operational standards.
  • Executive Staff Work: Perform quality control on Staff Summary Sheets (SSS), correspondence, and briefing decks for leadership.
  • Personnel Transitions: Manage recall rosters, emergency contacts, and standardized onboarding/offboarding checklists.
  • Security & Escort Compliance: Enforce physical security protocols for greeting, checking in, and escorting uncleared personnel and contractors.
  • On-Site Presence: Committed to full-time, 5-day on-site presence in Dayton (3000 Presidential).
  • Cross-Functional Support: Balance executive-level Front Office Group (FOG) support with broader Initiative Section priorities.
  • Professional Communication: Translate high-level directives into actionable tasks with precise grammar and formatting.
