Job description

Description The purpose of this job is to perform a variety of moderately complex clerical work in the preparation and maintenance of Library records; to perform a variety of clerical tasks as assigned; and to provide professional and courteous customer service at all times. This position works under general supervision, independently developing work methods and sequences. Duties ESSENTIAL JOB FUNCTIONS Reports to the Executive Director.

Receives and responds to public inquiries, requests for assistance and complaints in areas of responsibility, including management of Library meeting room reservations across locations. Assists Library Administration with special projects, grants administration, and other duties as assigned. Prepares, processes, copies, indexes, files, transmits and/or maintains various Library documents.

Audits and ensures the security and confidentiality of files as appropriate. Maintains records, prepares forms, verifies information, and resolves moderately complex problems. Schedules and maintains calendar of appointments, meetings and travel itineraries; coordinates related arrangements.

Prepares correspondence, memoranda, reports, etc. Types letters, memos, and other correspondence for the appropriate Library location or department. Assists with a variety of clerical duties in support of the Library including: processing accounts payable; ordering supplies; and weekly deposits.

May assist in Library budgeting. Attends trainings, meetings, workshops, conferences, etc., as necessary to maintain job knowledge and skills. Performs other related job duties as assigned

Qualifications Minimum Education and Experience Requirements: Requires an Associate's degree, vocational technical degree AND three years of experience OR Five years of related experience or an equivalent combination of education specialized training that is equivalent to satisfactory completion of two years of college education. Additional Requirements Must possess and maintain a valid state driver's license with an acceptable driving history. Requires a minimum of two years accounting software experience.

Must be proficient in Microsoft Office Suite. Must possess excellent customer service skills. Unavoidable Hazards (Work Environment): Work is performed?in?relatively safe,?secure?and stable work environment.

Position Type and Expected Hours of Work This is a full-time position; typical Library days and hours of operation are Monday and Wednesday 8:00am - 7:00pm, Tuesday and Thursday 8:00am - 8:00 pm, and Friday through Sunday 8:00am - 5:00pm.

Work schedules are assigned based on operational need. Employees must work 40 hours weekly to maintain their full-time status. Employees must be available to work evenings, weekends and holidays during emergencies or as requested.
