JOB DESCRIPTION

A mid sized law firm is seeking an experienced Legal Secretary to provide comprehensive administrative and document support to a team of attorneys. This full time position includes a hybrid work schedule following the initial training period.



Position Overview:  

The Legal Secretary will support multiple attorneys with a wide range of administrative, organizational, and document production responsibilities. The role requires strong attention to detail, sound judgment, and the ability to manage competing priorities in a fast paced environment.



Responsibilities:

  • Provide daily administrative and secretarial support to assigned attorneys.
  • Draft, revise, and proofread documents, correspondence, memoranda, and related materials.
  • Assist with preparing materials for meetings, hearings, and other legal proceedings.
  • Handle electronic and physical filing of documents with courts or administrative bodies.
  • Maintain organized electronic case files and administrative records.
  • Manage attorney calendars, including meetings, deadlines, and important dates.
  • Review incoming mail and route items appropriately.
  • Assist with time entry and coordinate with billing personnel to support timely invoicing.
  • Open new matters and track related administrative details.
  • Prepare check requests and coordinate vendor payments as needed.
  • Assist with travel arrangements and prepare expense reimbursements.
  • Provide backup support to other administrative staff during absences.
  • Work occasional overtime when required.
  • Perform additional administrative duties as assigned.



Qualifications:

  • High school diploma required; additional education preferred.
  • Extensive experience (typically 7+ years) as a legal secretary or legal administrative professional.
  • Experience supporting senior level attorneys is highly valued.
  • Strong writing, proofreading, and communication skills.
  • Ability to manage multiple deadlines and maintain organization in a high volume environment.
  • Demonstrated ability to work independently while also collaborating effectively with a team.
  • Proficiency in Microsoft Office and Adobe Acrobat.
  • Familiarity with legal technology tools such as document management systems, time entry software, and calendaring programs (specific systems may vary).
  • Strong client service orientation and professional demeanor.
