What is a full time executive business partner?

Full Time Executive Business Partners are professionals who provide high-level administrative and strategic support to executives, such as CEOs, CFOs, or other senior leaders. Their responsibilities typically include managing schedules, facilitating communication, preparing reports, coordinating meetings, and handling confidential information. In addition to traditional executive assistant duties, they often act as strategic partners, contributing to decision-making processes, managing projects, and ensuring the executive’s priorities are executed efficiently. They play a crucial role in enhancing the productivity and effectiveness of the executive and, by extension, the organization.

What are the key skills and qualifications needed to thrive as a full time executive business partner, and why are they important?

To thrive as a Full Time Executive Business Partner, you need exceptional organizational, project management, and problem-solving skills, often supported by a bachelor’s degree in business administration or a related field. Familiarity with tools like Microsoft Office Suite, calendar management software, and collaboration platforms such as Slack or Asana is typically required. Outstanding communication, discretion, and proactive decision-making are crucial soft skills for building trust and anticipating executive needs. These competencies enable seamless executive support, efficient workflow, and strategic partnership within high-pressure business environments.

Balancing schedules, anticipating needs, and maintaining clear communication across teams can be demanding. However, developing strong organizational systems, proactive planning, and adaptability are key to managing these challenges successfully. The role offers the opportunity to build deep relationships and gain insights into various business areas, which can be highly rewarding and support long-term career growth.

Job description

About the Role

The Executive Business Partner will serve as a crucial partner to the executive leadership team for our Digital and Retail teams. You'll support our Chief Digital Officer, Chief Retail Officer, and VP, DTC and independently manage everything from calendar and travel arrangements to running offsites and other special projects over time. This highly organized, endlessly resourceful person will ensure the team operates at its best and nothing falls through the cracks.

The EBP role is one that doesn't always neatly fit within the 9-6 day, so we're looking for a go-getter who's eager to be flexible and available, even outside traditional working hours. Because the role (and our exec team) is so dynamic, this person must possess strong business judgment and communication skills needed to interact with a variety of people and job functions, internally and externally. Our ideal candidate is someone who is excited to contribute to our company and build a trusted, long-term partnership with our leadership team.

What you will accomplish:

  • Bring a strong foundation in executive support by reliably managing complex calendaring, travel coordination across the US and abroad, expense reporting, and meeting logistics - operating with precision and making confident judgment calls grounded in business priorities
  • Anticipate needs and apply foresight to look around corners - flagging conflicts and risks early and surfacing issues before they become problems
  • Demonstrate exceptional attention to detail, ensuring nothing falls through the cracks and all work is executed with accuracy and care
  • Own the operating cadence of recurring leadership forums and All Hands - coordinating agendas, pre-reads, note-taking, and tracking action items - and take on defined projects and initiatives, tracking timelines and ensuring deliverables stay on track
  • Lead logistics for offsite events & retreats - including retail store walks, day trips to our manufacturer, and team trips - coordinating group transport, vendors, venues, agendas, and attendees from planning through day-of execution
  • Leverage knowledge of the business, executives' priorities, and key stakeholders - translating that context into sharp judgment and proactive support
  • Drive team connectivity and employee engagement by planning events, sending gifts, coordinating team building activities, etc.
  • Be a positive ambassador by consistently acting in a way that leaves people with a positive perception of the company while truly embodying our values
  • Contribute to the broader EA community at Mammoth Brands by attending monthly meetings, helping shape best practices and shared standards, modeling strong coverage partnerships, and mentoring peers where appropriate

This should describe you:

  • You have 3-6 years of professional experience: and you experience supporting senior leaders
  • You possess foresight: If you had a superpower, it would be the ability to see (and plan) around corners; you're proactive. You know there's a problem - and you know how to fix it - before anyone else. When you finish a task, you ask yourself what else could make the outcome even better - planning for every scenario and leaving no stone unturned.
  • You're open to giving and receiving feedback: You thrive in high-accountability environments where the bar is high and feedback is frequent. You lead with kindness and proactively offer, listen, and have direct dialogue daily - and when you receive feedback, you implement it just as fast.
  • You're a pro at multitasking: You manage multiple initiatives and priorities simultaneously, context-switch quickly based on shifting demands. You are a meticulous tracker and can quickly pivot and stay composed when things change.
  • You're a creative problem solver and resilient: There's no sticky situation you can't find your way out of, and you always come to the table with solutions, not just the problem. You stay steady under pressure - whether that's a last-minute pivot or something that just didn't go as planned
  • You communicate with clarity and good judgment: You tailor your tone to any audience - whether it's an email, a phone call, or an in-person conversation - and get things done by expressing yourself clearly and professionally. You're equally trusted with what you choose not to say: you exercise sound judgment with confidential and sensitive information, know how to tactfully navigate requests that may not be best answered, and help to put out, rather than flame, difficult situations.
  • You're curious about AI and experimenting often: You're actively exploring how AI tools can sharpen your work, you're not afraid to try new things, and you're excited by how quickly this space is evolving - and how it's reshaping what an EA can do

Here's who you'll work with:

  • Reporting to the Chief Digital Officer, Chief Retail Officer, and VP, DTC
  • Work cross functionally with Executive Assistants and Global Leadership in NYC, London, and Germany

Benefits and perks

  • Medical, dental, and vision coverage
  • 401k match
  • Equity in Mammoth Brands
  • Flexible time off and working hours
  • L&D stipend
  • 4 weeks sabbatical after 5 years, 6 weeks after 10 years, and 8 weeks after 15 years
  • 20 fully paid weeks off for parents who give birth, or 16 fully paid weeks off for all other paths to parenthood
  • Fun IRL and virtual events including happy hours, team building events, and parties on our rooftop
  • Free products from our family of brands

The Mammoth Brands' working model is in-office Tuesday, Wednesday, and Thursday. Our beautiful 70,000 square foot SoHo office is decked out with bagels on Wednesdays and lunch on Thursdays, and fully stocked kitchens with snacks, coffee, and drinks everyday.  Can't forget the free products and the opportunity to have some meetings without Zoom!

We can't quantify all of the intangible things we think you'll love about working at Mammoth Brands, like the exciting challenges we tackle, the smart and humble team you'll get to work with, and our supportive and inclusive culture. That said, our salary ranges are based on paying competitively for our size and industry, and are one part of our total rewards package, which also includes a comprehensive set of benefits and our equity program. The base salary hiring range for this position is $100,000-$105,000, but the final compensation offer will ultimately be based on the candidate's location, skill level and experience.
