Position Overview
The Executive Business Partner plays a critical role in helping executive leaders operate effectively in a fast-paced, highly collaborative environment. By providing proactive support, coordinating priorities, managing critical communications, and ensuring follow-through on key activities, the Executive Business Partner acts as a force multiplier for executive leadership, creating the capacity for leaders to focus on strategic objectives and business results.
This role goes beyond traditional administrative support by serving as a highly organized coordinator, relationship builder, and problem solver who helps create structure, streamline processes, and improve efficiency across the executive's areas of responsibility. Success in this role requires sound judgment, initiative, adaptability, strong communication skills, and a commitment to excellence.
By anticipating needs, identifying risks and bottlenecks, and proactively driving follow-through, the Executive Business Partner helps maximize organizational effectiveness and the impact of executive leader(s) and their teams.
Essential Duties and Responsibilities
Executive Support & Coordination
- Provides comprehensive support to executive and senior leaders, including complex calendar management, scheduling prioritization, meeting coordination, travel planning, expense reporting, and administrative support.
- Proactively manages the executive's time, energy and strategic priorities by identifying conflicts, anticipating emerging issues, preparing decision-ready materials, and ensuring leaders are well-prepared for meetings and positioned for effective decision making and execution.
- Coordinates internal and external meetings, executive events, leadership forums, off-sites, and other business-related activities, including agendas, logistics, materials, and follow-up.
- Maintains awareness of key business priorities, organizational developments, and leadership initiatives to help proactively coordinate activities; identify scheduling considerations, dependencies, risks, and opportunities; and items requiring executive attention.
Meeting & Communication Management
- Develops meeting agendas, presentation materials, executive briefings, summaries, reports, and communications that support productive discussions and informed leadership conversations.
- Coordinates follow-up communications, tracks action items, and maintains documentation of meeting outcomes and commitments to ensure accountability for critical deliverables.
- Serves as a liaison between executives and internal and external stakeholders, maintaining professionalism, responsiveness, confidentiality, and discretion.
Project & Process Support
- Supports special projects and business initiatives through organization, coordination, information gathering, documentation, and progress tracking.
- Tracks key deliverables, deadlines, and commitments and follows up with stakeholders to support timely completion and clear accountability.
- Creates and maintains project trackers, dashboards, templates, and other tools that support efficient execution and visibility.
- Assists with coordination across departments, project teams, and executive support partners to promote alignment and effective communication.

- Leverages technology and productivity tools, including AI-enabled solutions such as Microsoft Copilot, to streamline administrative and operational tasks.
- Establishes and maintains effective processes, workflows, and organizational systems that improve efficiency and consistency.
- Establishes and manages executive operating rhythms, including leadership meetings, business reviews, action-item tracking, communication cadence, and executive follow-up processes.
- Identifies opportunities for process improvements and recommends practical enhancements to increase effectiveness.
Relationship Management
- Builds positive working relationships across all levels of the organization.
- Demonstrates professionalism, discretion, and sound judgment when handling sensitive and confidential information.
- Supports a collaborative and service-oriented environment while maintaining flexibility in response to changing business needs

Minimum Qualifications
- Minimum of 7 years of experience providing executive support, executive operations, business operations, chief of staff, project coordination, or related support to senior leaders.
- Demonstrated ability to anticipate executive needs, exercise independent judgment, and operate with a high degree of autonomy while managing competing priorities.
- Proven ability to influence outcomes and drive accountability across teams without direct reporting authority.
- Experience supporting C-suite, executive-level, or senior business leaders within a complex, fast-paced organization.
- Demonstrated ability to manage highly complex calendars, competing priorities, time-sensitive meetings, travel, expense reporting, and executive communications.
- Strong business judgment, discretion, professionalism, and ability to handle confidential information appropriately.
- Excellent written and verbal communication skills, including the ability to prepare polished executive materials, presentations, summaries, and correspondence.
- Expert proficiency with Microsoft Office, Outlook, Teams, Word, Excel, PowerPoint, SharePoint, and related productivity tools.
- Highly organized, detail-oriented, resourceful, and able to work independently with minimal supervision.
- Proven ability to build trusted relationships, collaborate across functions, and interact effectively with senior executives, external partners, and internal stakeholders.
Preferred Qualifications
- Bachelor's degree in business administration, communications, organizational leadership, project management, or a related field, or equivalent work experience.
- Experience supporting executives with distributed teams or managing scheduling across multiple time zones.
- Experience in media, technology, professional services, or another dynamic, matrixed environment.
- Experience supporting governance-related activities, executive off-sites, or confidential leadership forums.
- Experience using AI and productivity tools such as Microsoft Copilot, ChatGPT, or similar platforms to streamline workflows, improve reporting, and enhance executive productivity.
- Experience developing executive dashboards, project trackers, templates, and operating cadence tools.
