Senior Bookkeeper & Workflow Administrator

Location: Onsite — [Muskegon, MI]

Schedule: Full-Time, Monday – Friday, 8:00 AM – 5:00 PM

About the Role

We are seeking a highly organized, fast-paced Senior Bookkeeper and Workflow Administrator to manage our daily financial operations and internal systems on-site at our office. Working directly with our Office Administrator and General Manager, you will take full ownership of QuickBooks Online, manage core transaction pipelines, and serve as the operational architect for our Monday.com workflows.

Key Responsibilities

·         Financial Operations: Create and manage estimates, purchase orders (POs) to/from clients and suppliers, customer invoices, and employee expense reports.

·         Reconciliations: Execute monthly credit card reconciliations across 8 company accounts and maintain general ledger accuracy in QuickBooks Online.

·         Workflow Architecture: Lead, build, and optimize daily operational processes, task tracking, and input routines inside Monday.com.

·         Data Organization: Maintain, structure, and update client files, databases, and operational records daily within Google Drive.

·         Administrative Collaboration: Work closely with the General Manager and Office Administrator to keep day-to-day office systems structured and running smoothly.

Qualifications

·         Accounting Experience: 3–5+ years of hands-on experience in QuickBooks Online (QBO).

·         Technical Proficiency: Fluent in Google Workspace (Sheets, Docs, Drive) and Microsoft Office Suite.

·         Systems Fluency: Demonstrated skill in building and managing workflows within Monday.com.

·         Speed & Precision: Minimum typing speed of 80 WPM with sharp attention to detail.

·         Work Style: Onsite-ready, self-motivated, and energized by structured, task-driven objectives in a focused office setting.
