Front Office Assistant
Position Summary
The Front Office Assistant serves as the first point of contact for families, visitors, and staff at Montessori Scholars Academy. This role is responsible for creating a warm, welcoming, and professional environment while supporting daily school operations, enrollment, communication, and administrative functions.
Key Responsibilities
Reception and Customer Service
Greet parents, children, visitors, and prospective families in a friendly and professional manner.
Answer and direct incoming phone calls, emails, and inquiries.
Provide information about school programs, admissions, and policies.
Ensure all visitors sign in and follow school security procedures.
Maintain a welcoming and organized reception area.
Admissions and Enrollment Support
Assist prospective families with enrollment inquiries and school tours.
Maintain enrollment records and student files.
Process applications, registration forms, and required documentation.
Follow up with prospective families regarding admissions and enrollment status.
Support student onboarding and orientation processes.
Administrative Support
Maintain accurate student and staff records.
Assist with data entry, filing, copying, scanning, and document preparation.
Order and manage office supplies and inventory.
Prepare reports, correspondence, and school communications as needed.
Support administrative projects and special events.
Parent and Family Communication
Communicate effectively with families regarding school events, schedules, and announcements.
Distribute newsletters, notices, and school information.
Address parent questions and direct concerns to the appropriate staff member.
Assist with maintaining parent communication platforms and databases.
Attendance and Student Records
Monitor daily attendance and maintain attendance records.
Record student arrivals, departures, and early dismissals.
Maintain confidential student information in compliance with school policies.
Financial and Billing Support
Assist with tuition billing, payment collection, and record keeping.
Process receipts and maintain payment records.
Support bookkeeping and administrative financial tasks as assigned.
Event and Program Support
Assist in planning and coordinating school events, parent meetings, and community activities.
Prepare materials and communications for events.
Support classroom and school-wide activities when needed.
Compliance and Safety
Follow all school policies, licensing regulations, and confidentiality requirements.
Support emergency procedures and visitor management protocols.
Ensure student information is handled securely and confidentially.
Qualifications
High school diploma required; Associate's or Bachelor's degree preferred.
Previous administrative, receptionist, customer service, or school office experience preferred.
Strong communication and interpersonal skills.
Proficiency in Microsoft Office, Google Workspace, and school management software.
Excellent organizational and multitasking abilities.
Ability to maintain confidentiality and professionalism at all times.
Experience working with children and families is preferred.
Physical Requirements
Ability to sit, stand, and move throughout the school day.
Ability to lift up to 25 pounds occasionally.
Ability to use office equipment, including computers, printers, and telephones.
