Job description

Swamp Fox Agency is seeking a detail-oriented, organized, and dependable Accounts Payable / Receivable Specialist to join our growing team. This position is responsible for managing the agency's accounts payable functions while becoming cross-trained and proficient in accounts receivable processes to provide backup support.

As our agency continues to grow, this role will evolve by providing opportunities to learn new skills, support additional operational initiatives, and contribute to process improvements across the organization. We are looking for someone who is adaptable, enjoys continuous learning, and takes pride in delivering accurate, timely work.

Primary Responsibilities

Responsibilities include, but are not limited to:

  • Review, code, and process vendor invoices accurately and timely.
  • Validate, record, and process payments to clients and insurance carriers.
  • Compare purchase orders, pricing, payment terms, and related charges for accuracy.
  • Perform accounting functions including account maintenance, journal entries, and statement reconciliations.
  • Research and resolve discrepancies by reviewing all available information and coordinating with vendors, carriers, and internal departments.
  • Assist with month-end, quarter-end, and year-end closing procedures while meeting established deadlines.
  • Respond promptly and professionally to vendor and carrier inquiries.
  • Cross-train to become proficient in the Accounts Receivable Specialist role and provide backup support as needed.
  • Prepare and reconcile bordereau reports for carriers and clients, ensuring accuracy and timely submission.
  • Prepare financial and operational reports, providing analysis to support management decision-making.
  • Analyze account and transaction data to identify trends, discrepancies, and opportunities for process improvement.
  • Assist with special projects, operational initiatives, and other duties assigned by management.
  • Adapt to evolving business needs by learning new processes and assuming additional responsibilities as the agency continues to grow.

Required Qualifications

  • Minimum one (1) year of bookkeeping, accounting, or related experience.
  • Working knowledge of accounts payable and accounts receivable processes.
  • Strong organizational and time management skills.
  • Exceptional attention to detail and accuracy.
  • Excellent verbal and written communication skills.
  • Strong mathematical and analytical abilities.
  • Proficiency in Microsoft Office, particularly Excel.
  • Excellent computer and data entry skills.
  • Ability to prioritize multiple tasks and perform effectively in a fast-paced environment.
  • Ability to work independently while contributing to a collaborative team.
  • Experience with ERP or accounting software is preferred.

Preferred Qualifications

  • Insurance or insurance agency accounting experience.
