Cadillac Formula 1 Team is seeking a highly organized and proactive Travel Coordinator to support the planning and execution of complex domestic and international travel for our Commercial organization. Reporting to the Travel Manager, this role will play a critical part in ensuring seamless travel operations in a fast-paced, high-performance motorsport environment.

Main duties including but not limited to the following:

  • Coordinate complex domestic and international travel arrangements for Commercial Team Members, including flights, accommodations, ground transportation, visas, and related logistics.
  • Provide support with Race and Test travel arrangements (flights and accommodations) as required for the Commercial team.
  • Assist the Travel Manager with building new relationships with key suppliers
  • Ensure all travel arrangements comply with company policies and approved budgets
  • Maintain accurate and detailed records of travel arrangements and associated costs
  • Provide occasional out-of-hours support related to urgent travel changes or operational disruptions Manage Team Member profiles, ensuring personal data, loyalty programs, frequent flyer details, and visa information are kept up to date
  • Oversee passport tracking and renewal requirements for all travelling Commercial Team Members
  • Coordinate visa applications and supporting documentation for ad hoc international travel Commercial Team Members
  • Arrange all international driving permits as required for main and second drivers of the Commercial travelling team
  • Manage all associated admin for the approved travel requests such as hotel, flight and credit card reconciliations, processing purchase requisitions and invoices for the Commercial Team Members
  • Deliver a high level of service and responsiveness to senior commercial stakeholders and traveling team members
  • Coordinate and manage travel documentation requirements including visas, passports, international driving permits, and related compliance needs for the Commercial Team Members

Requirements

What do we need from you?

Essential:

  • Proven experience in managing travel arrangements in a fast-paced environment
  • Effective time management skills, with the ability to manage multiple tasks and changing priorities whilst maintaining meticulous attention to detail
  • Good inter-personal skills & ability to communicate at all levels with a strong commitment to providing excellent service
  • Demonstrated ability to work well under pressure, meet deadlines consistently and exhibit excellent problem-solving capabilities
  • Must be able to work effectively both independently and as part of a team
  • Exceptional attention to detail, responsiveness, and the ability to adapt quickly to changing schedules and operational priorities
  • Ability to handle confidential and sensitive information with professionalism and discretion

Desirable:

  • Experience of IFS
  • Experience using Sabre or another Global Distribution System (GDS) strongly preferred Experience supporting travel operations within motorsport, professional sports, entertainment, hospitality, or another fast-paced international environment preferred
