Job Description:

Overview:

The Aviation Flight Specialist I is responsible for coordinating flight activities associated with the planning, scheduling and ground handling of the aircraft.  The incumbent in this position must be capable of making time-dependent logistical decisions related to flight safety, costs and personnel. May be responsible for the preparation, coordination and communication of all applicable flight logistics including, accommodations for flight crew and passengers, scheduling crew, ground transportation, catering, air strip and ramp reservations.

Responsibilities:

  • Assist in coordinating day-to-day flight operations which include planning & scheduling of ground handling for aircraft in accordance with the Federal Aviation Administration and company regulations/requirements.
  • Provide crewmembers with schedule and relay operational conflicts including assisting crewmembers with any possible diverted flights due to weather and other unforeseen circumstances and notify passengers to those changes.
  • Arrange ground handling at alternate airport. Notify Director of issues and assist with solutions.
  • Arrange VIP/Executive/Tribal ground transportation.
  • Arrangement of flight crew hotel and rental vehicles.
  • Prepare itineraries and travel plans for domestic and international flights including ramp and time slot reservations.
  • Monitor and flight follow for aircraft movement to maintain an on-time schedule.
  • Assist maintenance in scheduling of routine and non-routine aircraft maintenance.
  • Maintain departmental records including maintenance records & flight sheets.
  • Schedule trips in FOS the Aviation compliance scheduling program.
  • With SVP – Player Development approval arrange SGA VIP’s for requested flights on aircrafts from company’s fleet and chartered aircrafts.
  • Send requests for customized catering and onboard services.
  • Arrange SGA VIP guests’ ground transportation.
  • Flight follow and provide aircraft movement to Player Development and property Leadership.
  • Complete compliance procedures for Aviation Clearance Forms (ACF).
  • Complete monthly OFAC checks of VIP casino passengers.
    • Liaise with compliance department to ensure that all flights are authorized and completed under SGA policy.

Qualifications:

  • Associates degree is preferred; or equivalent combination of training and experience will be considered.
  • A minimum of two (2) years of airline management, chartering and/or dispatching or airline operations experience is preferred. An equivalent combination of education/training and experience will be considered.
  • Knowledge of the organizational structure of the STOF, Seminole Gaming and SHRSS.
  • Knowledge of principles and practices of general aviation facility operation and maintenance. Knowledge of Federal Aviation Regulations.
  • Knowledge of flight planning principles, processes and procedures.
  • Knowledge of weather forecasting techniques and models.
  • Understanding of aircraft performance, and acceptable airports to operate to and from.
  • Understanding of airport operations.
  • Ability to organize and plan work while adhering to deadlines.
  • Ability to pay strong attention to detail.
  • Ability to prioritize and manage multiple work projects.
  • Demonstrate excellent customer service skills.
  • Demonstrate strong presentation and public speaking skills.
  • Ability to operate office machines, office computers and equipment
  • Ability to keep accurate records and reports.
  • Ability to perform assignments independently.
  • Ability to serve the STOF tribal community, Seminole Gaming, the public and fellow employees with honesty and integrity.
  • Ability to establish and maintain effective working relationships with the general public, co-workers, STOF elected and appointed officials and members as well as others in conjunction with the discharge of duties.
  • Possession of a Dispatch Certificate, or in the process of obtaining, is highly preferred.
  • Familiarity with Federal Aviation Regulations (FAR) is preferred.  
  • Demonstrate excellent analytical and organizational skills, outstanding verbal and written communication skills.
  • Demonstrate excellent interpersonal skills and be an effective team player.
  • Demonstrate proficiency in computer software.
