Job description

Overview:
A leading law firm is seeking a skilled Document Analyst to provide high-quality technical support across a variety of document formats. This role plays a key part in supporting attorneys, paralegals, and staff by ensuring accuracy, efficiency, and consistency in legal documentation. Ideal candidates will bring a strong command of legal software and a proactive, detail-oriented mindset.
Responsibilities:
  • Input, edit, and format documents from diverse sources (e.g., handwritten notes, transcription software, USB drives).
  • Apply Word Styles and Legal MacPac templates to format and reformat legal documents.
  • Generate Tables of Contents and Tables of Authorities using Best Authority or equivalent tools.
  • Compare documents and generate redlines using Workshare Compare or Word's track changes.
  • Create PowerPoint presentations aligned with firm branding, including master slide manipulation.
  • Prepare merge letters and envelope documents.
  • Scan, convert, and manipulate documents and images using Adobe Acrobat or Nuance Power PDF.
  • Create and reformat figures and visuals in Visio or similar software.
  • Build and edit Excel spreadsheets, charts, and graphs.
  • Support document production troubleshooting and offer technical guidance on best practices.
  • Collaborate with attorneys and staff to ensure formatting requirements and deadlines are met.
  • Provide general support for firm software applications and special projects as needed.
Qualifications:
  • Advanced proficiency in MS Office Suite (Word, Excel, Outlook, PowerPoint, Visio, Access)
  • Familiarity with legal technology platforms such as iManage, Nuance Power PDF, Workshare Compare, Best Authority, WinZip, DocX Tools, and MacPac
  • Typing speed of at least 65 WPM with high accuracy
  • Strong organizational and multitasking abilities in a fast-paced, deadline-driven environment
  • Excellent communication skills, both written and verbal
  • Able to work independently and collaboratively with minimal supervision
  • Flexible schedule with availability to work overtime as needed
  • High school diploma or equivalent required; college or technical degree preferred
