Primary Function:ย 

The National Fleet Coordinator is responsible for the day-to-day administration and operational support of the companyโ€™s nationwide vehicle fleet. This position serves as the first point of contact for fleet-related questions and issues and plays a critical role in ensuring vehicles and drivers are properly onboarded, maintained within company systems, compliant with registration requirements, and efficiently managed throughout the vehicle lifecycle.

The ideal candidate is an experienced fleet professional who is comfortable working independently, managing a high volume of activity, prioritizing competing needs, and making timely decisions without requiring constant direction. This role requires strong organizational skills, sound judgment, attention to detail, and a service-oriented approach when supporting drivers and internal stakeholders across the organization.

Primary Duties:ย 

  • Serve as the first point of contact for the Fleet Department for drivers, managers, and internal stakeholders, providing guidance regarding fleet policies, procedures, and processes
  • Manage the fleet portion of the onboarding/offboarding process for drivers, including driver setup, vehicle assignments and returns, required documentation, and system enrollment.
  • Coordinate the addition of new vehicles into the fleet and ensure all required vehicle information is accurately entered into fleet management and internal systems.
  • Coordinate vehicle delivery and assignment with drivers, internal stakeholders, dealerships, and the Fleet Management Company.
  • Manage vehicle offboarding, including vehicle sales, returns, transfers, disposals, and removal from fleet systems.
  • Ensure vehicle records and documentation remain accurate throughout the vehicle lifecycle, utilizing Wheels systems to manage driver and vehicle information, registrations, vehicle lifecycle activities, and other fleet functions.
  • Work with drivers, regional leadership, transportation providers, and other stakeholders to facilitate timely vehicle transfers, and recommend practical and cost-effective solutions.
  • Monitor the telematics platform and assist with driver and vehicle-related issues and identify potential issues or discrepancies and take action or escalate when necessary.
  • Review vehicle connectivity, mileage, location, utilization, and other fleet data as required.
  • Serve as a primary day-to-day contact with the companyโ€™s Fleet Management Company.
  • Assist with fleet reporting, vehicle inventories, utilization reviews, and data analysis.
  • Support the development and implementation of fleet processes, procedures, and continuous improvement.

Education and Experience Requirements:ย 

  • Minimum of 3 years of professional experience working within a corporate fleet department or fleet management environment.
  • Experience supporting or administering a fleet of 400 or more vehicles.
  • Demonstrated experience with driver onboarding/offboarding and vehicle lifecycle administration.
  • Experience managing vehicle registrations, renewals, vehicle assignments, and transfers.
  • Familiarity with fleet management systems and telematics platforms.
  • Strong organizational skills with the ability to manage multiple priorities and deadlines simultaneously
  • Previous experience working with Wheels as a Fleet Management Company preferred.
  • Experience supporting a geographically dispersed or nationwide vehicle fleet preferred.
  • Experience with telematics platforms and fleet utilization reporting.
