Job description

LITCHFIELD PARK POOL SERVICE 

Office Manager  

Litchfield Park Pool Service is seeking a highly organized, detail-oriented Office Manager to oversee the administrative and operational functions that keep our company running efficiently. This leadership support role is responsible for coordinating payroll, front-end bookkeeping, employee onboarding, scheduling, invoicing, billing, reporting, compliance, and office operations while continually improving systems and processes. 


Key Responsibilities:

 

Payroll & Human Resources:

 

  • Coordinate payroll reporting, commissions, incentives, bonuses, and payroll records. 
  • Process new hire paperwork, E-Verify, onboarding, employee files, and HR documentation. 
  • Assist with weekly employee scheduling and maintain payroll software information. 
  • Support employee handbook updates and interview schedules. 


Bookkeeping & Financial Administration:

 

  • Manage front-end bookkeeping, deposits, journal entries, customer payments, and daily cash reconciliation. 
  • Prepare monthly sales tax filings and reseller license renewals. 
  • Ensure invoices are accurate and delivered promptly while following up on overdue accounts and collections. 
  • Review financial reports and maintain organized accounting records. 


Business Operations:

 

  • Maintain QuickBooks, Pool Brain and RB Control with other team members to help with inventory records, and operational reports. 
  • Organize vendor contracts, office systems, passwords, and digital filing structures. 
  • Order office supplies and maintain documentation for hardware, software, and security systems. 


Continuous Improvement:

 

  • Identify opportunities to improve business processes, software, QuickBooks organization, and operational efficiency. 
  • Support Mailchimp marketing administration and other special projects. 
  • Develop working knowledge of all departments to become a reliable operational resource. 


Qualifications:

 

  • Experience in Payroll, bookkeeping, accounting, and/or office administration. 
  • QuickBooks online experience required. 
  • Excellent organizational, communication, and problem-solving skills. 
  • Strong Microsoft Office skills, especially Excel. 
  • Ability to manage multiple priorities with exceptional attention to detail. 
  • Professional, dependable, self-motivated, and committed to continuous improvement. 
  • Background in sales preferred.
