Job Description:
Job Summary:
The Procurement Operations Specialist leads the operational execution and optimization of the Workday Procurement System. This role drives vendor management activities, oversees requisitions and purchase orders, resolves procurement challenges, and ensures compliance with organizational policies. Serving as a subject matter expert and trainer, the Specialist provides guidance to internal stakeholders on effective use of the procurement system and promotes best practices across the organization.
Essential Job Functions:
  • Lead the daily operations of the Workday Procurement System, ensuring requisitions, purchase orders, and vendor communications are accurate and timely.
  • Manage procurement catalogs, punchouts, and non-catalog items, recommending updates and improvements to enhance efficiency.
  • Coordinate supplier evaluation, onboarding, and annual vendor audits to ensure compliance and reduce risk.
  • Prepare and analyze Requests for Quotes, Bids, and Proposals, providing strategic recommendations aligned with organizational needs.
  • Partner with stakeholders to clarify requirements, define needs, and deliver procurement solutions that improve business outcomes.
  • Review and code invoices, resolve order-related issues, and ensure proper documentation in compliance with policies.
  • Contribute to the development and refinement of procurement policies and procedures, promoting consistency and best practices.
  • Provide training, guidance, and system expertise to stakeholders on the Workday Procurement platform.
  • Analyze procurement data to identify trends, cost-saving opportunities, and process improvements.
  • Other duties as assigned.

Knowledge, Skills, and Abilities:
  • Strong knowledge of procurement principles, vendor management, and contract processes.
  • Analytical, problem-solving, and decision-making skills with the ability to evaluate data and recommend solutions.
  • Excellent communication and relationship-building abilities to collaborate effectively across departments and with external vendors.
  • Proficiency with Workday Procurement and Microsoft Office Suite.
  • Ability to manage multiple priorities, maintain confidentiality, and exercise sound judgment.

Experience and Education Qualifications:
  • High school diploma required.
  • Bachelor's degree in business administration, Supply Chain Management, or related field preferred.
  • Two years of procurement or supply chain experience, preferably with ERP system administration required.
  • Experience with Workday Procurement strongly preferred.

Supervisory Requirements:
  • N/A

Employment Requirements:
  • Successful completion of background check including criminal record, driving record, abuse/neglect, and fingerprint check.
  • Completion of New Hire Orientation at the beginning of employment.
  • All training requirements including Relias at the beginning of employment and annually thereafter.
  • Current driver's license, acceptable driving record and current auto insurance.

Physical Requirements:
ADA Consideration - Sedentary work: Exerting up to 10 pounds of force occasionally (exists up the 1/3 of the time) and/or a negligible amount of force frequently (exists 1/3 to 2/3 of the time) to lift, carry, push, or pull, or otherwise move objects, including the human body. Repetitive movements of hands, fingers, and arms for typing and/or writing during work shift.
Sedentary work involves sitting most of the time but may involve walking or standing for brief periods of time. Jobs are sedentary if walking and standing are required only occasionally, and all other sedentary criteria are met.
