Administrative Assistant

Job Summary 

We are seeking a detail-oriented and organized Administrative Assistant with strong insurance billing and bookkeeping skills to support daily office operations, client services, and financial administration. The ideal candidate is professional, dependable, accurate, and comfortable managing multiple priorities. 

Key Responsibilities 

  • Manage referrals, client intakes, and insurance verification. 
  • Handle insurance billing from claim submission through payment, including: 
  • Submit and track insurance claims. 
  • Verify benefits and eligibility. 
  • Monitor claim status and follow up on unpaid claims. 
  • Research and resolve claim denials and billing issues. 
  • Correct and resubmit denied or rejected claims as needed. 
  • Post payments and maintain accurate client accounts. 
  • Follow up on outstanding insurance and client balances. 
  • Communicate with insurance companies regarding claims and reimbursement. 
  • Maintain accurate billing records and documentation. 
  • Maximize timely and accurate reimbursement for services provided. 
  • Perform basic bookkeeping and financial administrative tasks, including recording payments, reconciling accounts, tracking expenses, and maintaining accurate financial records. 
  • Answer phones, emails, and other correspondence. 
  • Schedule appointments and maintain calendars. 
  • Prepare documents and maintain electronic and paper records. 
  • Greet clients and provide excellent customer service. 
  • Manage office supplies and maintain an organized, welcoming office environment. 
  • Assist with data entry and database management. 
  • Manage Facebook and Instagram content with team support. 
  • Maintain confidentiality and provide administrative support as needed. 

Qualifications 

  • Previous insurance billing experience required. 
  • Experience with insurance claims, denials, eligibility verification, and account follow-up. 
  • Basic bookkeeping and accounting skills required. 
  • Experience with payment posting, account reconciliation, and maintaining financial records preferred. 
  • Prior administrative or office experience preferred. 
  • Proficiency with Microsoft Office, especially Excel. 
  • Experience with Simple Practice preferred. 
  • Strong attention to detail, organization, communication, and follow-through. 
  • Ability to work independently and manage multiple priorities. 
  • Professional demeanor and excellent customer service skills. 
  • Social media experience preferred. 
  • Associate or bachelor’s degree preferred. 

Schedule & Pay 

  • Part-time: 20–25 hours per week 
  • $21–$25 per hour, based on experience and qualifications. 
  • Primarily office-based during standard business hours. 
  • Occasional additional hours may be required during busy periods.
