BASIC FUNCTION/DESCRIPTION OF POSITION:

The Operations Assistant reports to the Director of Operations, Technology and Founding Director and works toward ensuring a smooth work environment with a focus on performance excellence. This position requires the identification of operational risks and opportunity and providing solutions while work with relevant departments. The position involves collaboration with different departments to increase overall work performance, strong attention to detail and exceptional business knowledge. The position works with data collection and analysis in the area of data and information, technology assets, materials and resources, and facility projects.


The Operations Assistant position requires superior attention to detail, heavy database and work, great organizational skills, and the ability to juggle multiple projects and tasks. The work environment is fast paced and service driven, the successful candidate should possess the ability to learn quickly and to be very flexible with changing business needs. The ideal candidate will possess the ability to complete tasks and projects quickly, and value the opportunity to be part of a team. Must have integrity and discretion in handling proprietary information, and be well experienced in dealing with professionals both inside and outside of the company.


This position directly supports student learning and the delivery of educational services through management, deployment, maintenance, and support of instructional materials, educational technology, student information systems, student devices, and operational resources utilized by students, teachers, and educational staff.


Duties and Responsibilities

  • Review, process, and upload required documents.
  • Assist in updating/renewing required business documents.
  • Receive and handle a high volume of incoming calls and emails.
  • Maintain technology fleet oversight
  • Ensure compliance with established program guidelines.
  • Maintain accurate documentation of databases to confirm fleet and project status.
  • Attend weekly virtual or in person team meetings and job walks.
  • Update and create as needed, training materials and shared resources.
  • Perform other duties as assigned or changed with or without notice.

  • License, certificate or credential: Must possess a valid California driver's license and reliable transportation.

  • Experience: Two years of increasingly responsible experience related to inventory or financial record keeping. Four years of increasingly responsible support work preferred.
  • Ability to maintain reliable on-site attendance and punctuality in accordance with assigned work schedule.

ENVIRONMENT: Indoor, office setting; exposure to computer screens.

PHYSICAL REQUIREMENTS: Hearing and speaking to exchange information with staff and external persons; seeing to read, proofread, perform clerical tasks, and work on a computer screen; intermittent sitting, standing, and walking throughout the workday; dexterity of hands and fingers to operate a computer keyboard and other office equipment; kneeling, bending at the waist, and reaching overhead, above the shoulders, and horizontally to retrieve and store files and supplies; lifting and carrying light objects; traveling to attend visits at resource centers, external venues, and staff meetings with reliable transportation.

WORK LOCATION AND OPERATIONAL REQUIREMENTS: This position is primarily performed in an in-person educational environment to support the operational, instructional, compliance, and student service needs of Altus Schools. While limited remote work flexibility may be authorized at the discretion of management based on operational needs, staffing levels, and organizational priorities, such arrangements are not guaranteed and may be modified, suspended, or discontinued at any time, with or without notice.

The employee may be required to work onsite up to five (5) days per week to support school operations, instructional continuity, student services, compliance functions, audits, staff support, meetings, training, and other operational requirements necessary for the effective functioning of the schools.

The ability to report onsite as assigned is considered an essential function of this position and is necessary to support collaboration, responsiveness, operational efficiency, supervision, and continuity of educational services.


LOCATION:

12-Month Workday Contract - 100% onsite (Monday-Friday)

SELECTION PROCESS:

Qualified applicants will first complete a brief work styles/behavioral survey.
