Overview:
As the Executive Assistant to an Executive-level leader within Paramount Advertising, you will demonstrate superb judgment while managing a variety of situations and confidential matters with the utmost discretion. You will create and deliver clear verbal and written communications. You will demonstrate impressive administrative and organizational skills. You will also manage multiple tasks while balancing several priorities. You have proficient interpersonal skills with a confident, polished presence. In fact, you're someone who builds trust easily, brings positive energy, and knows how to read the room. The ideal partner in the role is a driven individual who can prioritize successfully for themself and the Senior Executives, and who can work excellently under pressure. Your strong business insight reflecting a high level of awareness, capability, and efficiency in all you do is your key to success.
This position is an on-site role, located in NYC-Times Square.
Responsibilities include but are not limited to:
  • Be highly responsive to direct and anticipated needs; provide fast, accurate, and thoughtful responses to requests, and follow up on action items in support of the executive's efficiency and effectiveness.
  • Coordinate heavy travel itineraries including flight reservations, hotel, and car service quickly and accurately. Inform and plan actions based on the itinerary with appropriate parties, monitoring throughout. Process associated expenses as required.
  • Complete scheduling and calendar management as needed with a heavy focus on coordination of complex meetings with multiple participants and locations.
  • Provide effective and expeditious meeting coordination including agendas, notes, action items and follow-ups.
  • Run meeting presentations, conference room, and AV equipment logistics.
  • Assist with planning and execution of department events and offsites, including logistics, vendor coordination, catering, guest lists, and on site support
  • Track key deliverables, deadlines, and follow ups for the EVP and executive team, ensuring preparation and materials are ready ahead of time
  • Maintain and update organizational charts, distribution lists and send department-wide communications.
  • Screen and respond to phone calls, emails, and incoming/outgoing packages.
  • Partner with key partners to Ad Sales executive team and their EAs to collaborate, acquire information, problem solve, and achieve desired results.
  • Manage special projects, run occasional personal errands, and take on additional duties and projects as needed.
  • Prioritize tasks as needed and organize daily. Always monitor emails during working hours and before and after them.

Basic Qualifications:
  • 8+ years of experience as an Executive Assistant preferably within media, entertainment, technology, or marketing driven, with 3+ years supporting a C suite executive.
  • Advanced proficiency with Microsoft Office and/or Google Workspace (Outlook/Calendar, Excel/Sheets, PowerPoint/Slides, Word/Docs), and experience with expense and travel systems (e.g., Concur, Workday).

Additional Qualifications:
  • Demonstrated exceptional organization, professionalism, and ambition as an early-career candidate with robust administrative or internship experience.
  • Use good judgment and discretion when interacting with Senior Executives, Industry Leaders, and other important partners.
  • Enthusiastic and ready to tackle new projects and ideas while maintaining focus on key priorities.
  • Applies solid writing, editing, and proofreading skills for emails, presentations, and other correspondence.

ADDITIONAL INFORMATION
Hiring Salary Range: $85,000.00 - 110,000.00.
The hiring salary range for this position applies to New York City, California, Colorado, Washington state, and most other geographies. Starting pay for the successful applicant depends on a variety of job-related factors, including but not limited to geographic location, market demands, experience, training, and education. The benefits available for this position include medical, dental, vision, 401(k) plan, life insurance coverage, disability benefits, tuition assistance program and PTO or, if applicable, as otherwise dictated by the appropriate Collective Bargaining Agreement.
