Job description

Khalsa Montessori School is seeking a dedicated, reliable, On-Site Coordinator who provides support to the teaching staff and School Director. This role acts as a liaison between parents, staff members and all other school administrators. Candidates must have excellent verbal and written communication skills, be personable, flexible, detail oriented, and organized. A valid IVP Fingerprint Clearance Card (FCC-IVP) and background check will be required to begin.

Primary Responsibilities:
  • General duties include filing, answering phones, responding to email communications, maintaining community updates and events via various forms of communication.
  • Facilitating communication with prospective and current parents.
  • Maintain student records, follow up communication with parents of absent students. Complete regular audits of attendance records to ensure accuracy.
  • Organizing all student files and enrollment paperwork. This includes processing student enrollment applications, follow up communication with parents during the enrollment process, scheduling appointments, creating files for new students and auditing student files for missing information.
  • Maintain Google calendar for substitutes, PTO requests, classroom observations, parent meetings, and school events.
  • Ordering office supplies and coordinating with facilities maintenance requests.
  • Update and Maintain student files.
  • Immunization Records tracking.
  • Maintain and update Emergency School Protocols, such as fire and lockdown drills.
  • Receive and distribute deliveries.
  • Facilitating the sign ups for extracurricular activities and assembling resources for these instructors (elementary campus only).
  • Assisting students with medications and calling parents regarding student illness.
  • Assist teachers by booking field trips destinations, including charter buses, and submitting check requests (elementary campus only).
  • Assist teachers with classroom management when necessary.
  • Act as teacher assistant when necessary.
Qualifications:
  • Office Management: 2 years (Required)
  • Experience working with children in a childcare setting: Minimum 1 year (Required)
  • Strong computer skills and database experience
  • Familiar with using information management systems
  • Highly organized
  • Excellent verbal and written communication skills
  • Ability to lift 50lbs, stand for 30+ minutes at a time, and be able to move quickly and squat down to the floor
Schedule:
  • Hourly Full-Time
  • Occasional After School Staff and Parent Meetings Required
