File Clerk

The File Clerk role is essential to maintaining accurate, organized, and compliant employee records. This position supports administrative operations by managing both physical and electronic filing systems, ensuring documents are properly maintained, easily accessible, and in compliance with company policies and applicable regulations.

Reports to: HR & Compliance Leadership team


Qualifications

  • Strong organizational skills and basic office and computer proficiency
  • Minimum of a High School Diploma or GED
  • Strong attention to detail and ability to manage large volumes of paperwork
  • Good interpersonal and communication skills
  • Proactive with sound judgment and problem-solving abilities
  • Ability to sit, stand, and walk for extended periods
  • Manual dexterity to handle paperwork and operate office equipment (e.g., filing systems, scanners, printers)
  • Prior office or clerical experience preferred

Job Duties

  • Maintain and organize physical and digital files in alphabetical and systematic order for efficient retrieval
  • File, scan, and upload documents into appropriate systems in a timely and accurate manner
  • Conduct data entry and maintain organized checklists and records in accordance with internal policies
  • Perform routine audits of files to ensure completeness, accuracy, and compliance with applicable federal and state regulations
  • Retrieve and distribute files and documents as requested by authorized personnel
  • Answer and direct calls professionally, as needed
  • Maintain strict confidentiality of employee records and sensitive company information, in compliance with applicable laws and company policies
