Reporting to the Director of Events, the Event Planner manages the planning process and executes successful events (virtual and in-person) that advance the recognition of Connection. The Event Planner supports our marketing strategy by overseeing the details of Connection meetings, trainings, conferences, and social events (internally and externally). In addition to venue selection, contract negotiation and room block management, the Event Planner manages external partner relationships with a goal of providing a memorable experience for the participants within the allocated budget.

Responsibilities

  • Manages event process from start to finish. Facilitates and organizes event details to include site selection, platform (virtual), catering, entertainment, transportation, décor, audio-visual equipment, and other operational logistics as needed.
  • Submits promotional material requests (Workfront) through the internal Creative team, sets realistic timeframes for creation and proof of documents to meet event roll-out dates, and ensures invitations and/or e-mails are deployed timely to meet event deadlines.
  • Collaborates with internal departments and external partners to identify and/or clarify the objectives of the event to include discussion regarding budget, agenda, best practices, and overall event expectations.
  • Strategizes various location/format options for the stakeholders to choose from to provide the most optimal and memorable experiences for the attendees and participants within the allocated budget.
  • Assembles event assets– registration/rooming lists, badges and/or name tags, artwork supporting the event, print materials, and any other items/signage required for the event.
  • Attends events (virtual and in-person) to ensure the attendee's expectations are met and coordinates last-minute modifications with external partners.

Requirements

  • Bachelor's Degree in Hospitality, Event Planning, Marketing or Business with minimum 3 years' related experience.
  • Basic computer knowledge with ability to operate keyboard for data entry.
  • Attention to detail in composing, keying, and proofing professional business materials.
  • Negotiation skills with ability to secure best purchasing agreement for the company.
  • Demonstrates excellent process and project management skills to flawlessly execute events.
  • Well versed in event planning and hospitality logistics.
  • Adaptable with ability to switch tasks based on shifting priorities.
  • Articulate with ability to express oneself clearly and professionally in written and oral communication.
  • Excellent written communication skills with ability to compose professional business communications via email, letter, and proposals.
  • Creative with ability to develop original solutions to problems.
  • Detail oriented with item-by-item focus, meticulous attention to detail with ability to proofread for accuracy.
  • Interpersonal skills with ability to work well with all levels of the organization.
  • Judgment with ability to formulate opinions, compare and decide with good sense.
  • Perceptive with ability to understand the needs and values of others.
  • Good listening skills with ability to receive information completely and understand what is being said.
