Description
The Sales Representative will support the sales and operations team by coordinating customer orders and ensuring products are accurately assembled, packaged, shipped, and delivered on schedule to support live events, productions, and customer deadlines. This role plays an important part in ensuring materials and products are prepared and available when needed, where timing and attention to detail are critical.
The Sales Representative will manage customer communications, order processing, billing support, and internal coordination to ensure a seamless experience from order placement through final delivery. The ideal candidate is highly organized, detail-oriented, and results-driven, with strong communication and problem-solving skills. This position requires someone who can thrive in a fast-paced environment, manage multiple priorities, and understand the importance of reliability and accuracy within the live events industry.

Responsibilities:
Sales Support
• Process and verify customer orders, including customer information, payment details, sales tax, and freight charges for accuracy.
• Communicate with customers via phone and email to answer questions, resolve issues, and obtain missing information.
• Maintain and update customer records, sales records, and order information within company systems.
• Coordinate with internal departments and outside partners to expedite orders and meet event deadlines.
• Support timely movement of materials and finished goods to ensure customer and production schedules are met.
• Provide customer feedback and inquiries to the appropriate departments for follow-up.
• Assist the sales team with administrative tasks and daily operational support.
• Respond to sales calls and online inquiries, provide product information, and prepare quotes.
• Support customers throughout the order process, ensuring a high level of service and satisfaction.
Sales Accounting Support
• Manage sales billing processes and export sales orders into Sage.
• Generate customer invoices and follow up on outstanding payments.
• Submit invoices through customer portals as required.
• Apply credits, sales receipts, and payments to customer accounts in Sage.
• Process refund requests, returns, and exchanges according to company procedures.
• Prepare multiple invoices for customers with specific billing terms.
• Review invoices, bills of lading, shipping documents, and related paperwork to ensure accuracy and compliance.
Requirements
Qualifications
• More than 2 years of previous experience in sales support, customer service, order processing, or a related role.
• Experience supporting customers in the live events, entertainment, manufacturing, production, or related industries is a plus.
• Ability to work in a fast-paced, deadline-driven environment where timing and accuracy are essential.
• Experience with QuoteWerks or similar sales/order processing software is a plus.
• Strong written and verbal communication skills.
• Excellent organizational and time-management skills with the ability to prioritize multiple tasks.
• High attention to detail with strong data entry and record-keeping accuracy.
• Ability to work independently, manage workload, and meet deadlines with minimal supervision.
• Strong problem-solving skills and ability to adapt to changing priorities.
• Ability to collaborate effectively with sales, production, warehouse, and operations teams.
• Commitment to accuracy, quality, and maintaining high standards.
• Knowledge of fabric, textiles, event production, or related industry terminology is a plus.
Physical Requirements
