4-H Associate Program Administrator - Perry County

Job Description:
Job Summary
The 4-H Associate Program Administrator is a professional role responsible for day-to-day management of the local 4-H program. This position supports Extension staff to provide the link between Land Grant University research and Indiana residents by providing local access to 4-H programs and experiences. The 4-H Associate Program Administrator will ensure State 4-H and university policies and procedures are implemented and identify local needs for regional or state support. This position also focuses on supporting the local 4-H program which includes managing youth enrollment, community clubs, volunteer onboarding and enrollment by following established procedures. With immediate supervision, the Associate Program Administrator may also be responsible for program communications and must exhibit exemplary people skills to both organize and recruit operational support and audiences for educational opportunities and experiences.
What You'll Be Doing:
  • Using established procedures to manage 4-H youth enrollment and recruitment. This includes managing the local 4-H Database, Event Management software, and communicating throughout the 4-H year through various channels
  • Managing, recruiting and identifying adult volunteers to help carry out the Purdue Extension and Indiana 4-H Youth Development mission
  • Managing 4-H club processes, supporting volunteers with annual club tasks including financial and reporting requirements
  • Serving as the primary recruitment, onboarding, and direct contact for local volunteers
  • Identifying potential volunteers, reviews qualifications and background checks to match volunteers with roles
  • Supporting, coordinating and communicating opportunities for the local culminating event (showcase/fair)
  • Elevating concerns and issues as necessary
  • Making individual and local efforts to recruit and reach new audiences for these opportunities
  • Providing connections to existing stakeholders and programs, as well through established connection means. This may include communicating, onboarding, selecting, and vetting both youth participants and volunteers for opportunities
  • Liaison with local 4-H Affiliates
  • Developing regular and effective communications with clientele and working relationships with colleagues, partners and stakeholders within the community. This may include local marketing of the 4-H program through community groups, social media, community events, community partnerships, and recruiting materials.
  • Promoting local, regional, state and national 4-H educational opportunities
  • With immediate supervision uses establishes procedures to implement, assess, and ensure adherence to Indiana 4-H and Purdue University policies and procedures, risk management practices, youth protection policies and general programmatic oversight to the local 4-H youth development program
  • Reporting compliance issues to Regional Youth Development Specialist, Area Director and the State 4-H office for management, mitigation and support

What We're Looking For:
  • Bachelor's degree
  • 6 months of experience in educational program management and/or volunteerism and/or organizational systems
  • Ability to follow established procedures while prioritizing workloads to meet deadlines
  • Knowledge and skill with computer technology in preparing and making reports, data analysis and retrieval, email and internet applications
  • Ability to effectively communicate program specific material
  • Ability to work with new and existing clientele and stakeholders
  • Strong communication, leadership, mentoring, and group process skills

  • This position is located in Tell City, IN
  • This is a part-time (50% FTE) position
  • Purdue will not sponsor employment authorization for this position
  • A valid driver's license is required for all Extension Educator positions
  • A background check and MVR check is required for employment in this position
  • Travel using personal vehicle (mileage reimbursement provided) and evening and weekend work is an integral part of this position
