About the Role:
World International Vacation Club is looking for a sharp, motivated Executive Assistant to join our team in beautiful Palm Springs, CA. This is an exciting opportunity to work at the heart of a dynamic organization, supporting president/CEO and playing a key role in our day-to-day operations. If you are computer-savvy, detail-oriented, able to manage time effectively and love keeping things running smoothly, we want to hear from you!
Responsibilities:
  • Serve as the primary point of contact among executives, employees, resort managers, and members.
  • Manage the flow of information accurately and in a timely manner.
  • Manage and coordinate board of directors and annual member meetings.
  • Prepare weekly, monthly, and quarterly reports.
  • Support office operations by monitoring and maintaining office supply inventory.
  • Prepare and format internal and external communications, including memos, emails, presentations, and reports.
  • Record minutes during Board of Directors meetings.
  • Screen and direct phone calls and distribute correspondence.
  • Organize and maintain the office filing system.
  • Handle confidential information with the utmost discretion and professionalism
Requirements:
  • Experience in an executive assistant or senior administrative support role
  • Exceptional organizational and time management skills with strong attention to detail
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook, Canva) and/or Google Workspace
  • Strong written and verbal communication skills
  • Ability to multitask, prioritize, and adapt in a fast-paced environment
  • Professional, polished demeanor with a proactive, problem-solving mindset
  • Experience in hospitality, travel, or vacation club industries is a plus
