Job Description

The Executive Assistant provides direct administrative support primarily to the SVP of Global Acceptance Solutions, one of the business units within Visa (VAS-Value Added Services),as well as general assistance to other team members. This position handles details of a highly confidential and critical nature and requires a broad working knowledge of departmental and company policies and practices.

As an individual contributor, you will focus on execution, solving a range of straightforward and complex problems and analyzing possible solutions using standard procedures, with moderate guidance and supervision.

This role offers the opportunity to work in a fast-paced environment, where your contributions will directly impact the success of a growing business. As an Executive Assistant, you will be at the heart of our operations, ensuring seamless communication and organization within the team. The ideal candidate will exhibit a positive attitude, strong communication skills, and the ability to proactively manage multiple calendars, organize large team events, and serve as an overall problem solver.

Key Responsibilities

Calendar & Meeting Management:

  • Proactively manage complex calendars and resolve scheduling conflicts for supported executives.

  • Organize and coordinate internal and external meetings, including large team events and expanded staff meetings.

  • Prepare meeting agendas, presentations, and manage shared team resources on intranet/portals.

Travel & Expense Management:

  • Coordinate complex domestic and international travel, including itineraries, visas, and logistics.

  • Prepare and submit expense reports using Visa's software (SAP Concur).

  • Assist with other administrative processes and expense-related tasks as needed.

Communication & Relationship Building:

  • Engage effectively with client assistants and stakeholders across the organization to facilitate seamless communication.

  • Build strong relationships with executives, colleagues, and members of the Executive Administrator community at Visa.

  • Provide and receive constructive feedback, managing conflict resolution with professionalism.

  • Draft, proofread, and address issues in communication plans or reports before they reach clients.

Project & Event Coordination:

  • Support key team initiatives as a project coordinator, contributing to multidisciplinary teams and projects.

  • Organize logistics for team functions, both locally and abroad.

  • Propose innovative ideas and implement best practices for team collaboration and efficiency.

Confidentiality & Professionalism:

  • Handle sensitive and critical matters with absolute discretion and professionalism.

  • Maintain a high level of attention to detail, exercising sound judgment in all tasks.

  • Exhibit a proactive, can-do attitude by taking initiative with minimal supervision.

General Administrative Support:

  • Provide dedicated administrative support to 1-2 senior executives, as well as general assistance to other team members.

  • Discern and prioritize the nuances between various projects and client requirements.

  • Participate actively in the onboarding of new team members and in ongoing departmental tasks.

Visa requires at least 3 days in office, expectations of these days will be confirmed by your Hiring Manager.

Qualifications

Basic Qualifications:

  • 2 or more years of work experience with a Bachelor's Degree or an Advanced Degree (e.g. Masters, MBA, JD, MD, or PhD)

Preferred Qualifications:

  • 3 or more years of work experience with a Bachelor's Degree or more than 2 years of work experience with an Advanced Degree (e.g. Masters, MBA, JD, MD)

  • 3 or more years of experience supporting executives in a fast-paced and demanding work environment.

  • Advanced proficiency in Microsoft Outlook, Word, Excel, PowerPoint, SharePoint, and AI tools such as CoPilot and ChatGPT.

  • Demonstrated ability to multi-task, prioritize, and manage complex assignments with strong attention to detail.

  • Experience with executive-level calendar management, travel coordination, and expense reporting.

  • Project management skills with the ability to coordinate large team events and initiatives.

  • Strong verbal and written communication skills, with the ability to interact and collaborate across diverse teams and job functions.

  • High degree of professionalism, discretion, and experience handling confidential information.

  • Highly organized self-starter who takes initiative and works well independently with minimal supervision.

  • Ability to build relationships, understand broader organizational context, and "get things done" efficiently.

  • Demonstrates strong judgment, customer service focus, and a collaborative team player mentality.

  • Comfortable operating in a fluid environment where assignments and priorities can change frequently.

  • Stay current with evolving technologies, leveraging available tools-including AI-to drive efficiency and continuously improve processes.



Information for US Applicants

For roles located in the US, the estimated salary range for this position is $104,900.00 to $ 163,000.00 USD per year, which may include potential sales incentive payments (if applicable). Salary may vary depending on job-related factors which may include knowledge, skills, experience, and location. In addition, this position may be eligible for bonus and equity.Visa has a comprehensive benefits package for which this position may be eligible that includes Medical, Dental, Vision, 401(k), FSA/HSA, Life Insurance, Paid Time Off, and Wellness Program.

Varies upon the needs of the department.

Travel Requirements

This position requires travel 5-10% of the time.

Mental/Physical Requirements

This position will be performed in an office setting. The position will require the incumbent to sit and stand at a desk, communicate in person and by telephone, frequently operate standard office equipment, such as telephones and computers.
