Responsibilities
Job Purpose
As an Executive Assistant, you're at the heart of your Executive(s) and their team's business operations and activities and the soul that keeps them moving forward. You anticipate the needs of your managers and team members and help them stay focused on their projects by resolving operational and administrative issues before they arise. You move quickly with the changing environment and are up to date with the latest Pattern processes, policies and procedures. You also use that knowledge to strategically support your team's projects. You regularly handle highly sensitive, confidential, and strategic information related to business operations, personnel matters, requiring a high level of discretion. In addition to being organized and analytical, you possess the strong business judgment and communication skills needed to interact with a variety of people and job functions across the organization.
Administrative jobs at Pattern are staffed by organized and dependable people driven by a common company goal: to help us accomplish great things. Working behind the scenes, we make a significant impact on the people we support. This position supports the Chief Development Officer, the SVP of External Affairs, and the SVP of Commercial Management and their teams. Support is subject to change on an as needed basis.
This is a full-time, onsite position, Monday through Friday, 8:00am-5:00pm.
Key Accountabilities
  • Manage complex calendars efficiently using Outlook including vetting, prioritizing, and providing recommendations; May reschedule or decline meetings on behalf of the executive based on strategic priorities, confidential topics, or business impact ; Assist with the scheduling of multiple stakeholder meetings and contribute to leadership meetings by taking notes and following up on any action items
  • Help ensure leaders are properly prepared and on time for all meetings by proactively looking and planning ahead; proactively manage any follow up needed on project deadlines and applicable team deliverables; Identifies potential operational or project risks and provides recommendations to executives on timing, resourcing, or escalation
  • Own and execute event planning and coordination for team meetings, all-hands meetings, and One Pattern Weeks; ensures confidentiality of executive-level discussions and materials when managing meetings or cross-functional engagements; Own the agenda coordination and all other administrative details of these meetings; Partner closely with WOE team to ensure best EE experience possible
  • Make domestic and international travel arrangements and process travel expense reports based on direction from traveler; draft detailed travel itineraries and provide remote assistance with logistics and travel arrangements with input from traveler, including visa processing; uses independent judgment to optimize travel plans based on cost, policy interpretation, and business need.
  • Assist with ensuring the timely review and submission of expenses through Concur; Identifies irregularities or potential risks before submission; preview and provide feedback regarding team expense reports, and assist with managing leader's or team's morale budget
  • Personal items on ad hoc basis

  • Intermediate proficiency in Microsoft Office Suite (PowerPoint, Word, Excel) and shared collaboration tools such as SharePoint and/or OneDrive (Office 365) or equivalent platforms
  • Ability to quickly learn and become proficient in new technologies, including internal desktop systems and software
  • Experience with travel coordination and management
  • Strong understanding of company policies and procedures, with the ability to apply them effectively to support business operations

The expected starting pay range for this role is $80,000 - $108,000 USD. This range is an estimate and base pay may be above or below the ranges based on several factors including but not limited to location, work experience, certifications, and education. In addition to base pay, Pattern's compensation program includes a bonus structure for full-time employees of all levels. We also provide a comprehensive benefits package which includes medical, dental, vision, short and long-term disability, life insurance, voluntary benefits, family care benefits, employee assistance program, paid time off and bonding leave, paid holidays, 401(k)/RRSP retirement savings plan with employer contribution, and employee referral bonuses.
