What does a virtual executive assistant do?

As a virtual executive assistant, you have many of the same responsibilities as a traditional executive assistant, but you do not work in an office setting. Virtual executive assistant jobs are common at small companies or startups that cannot employ full-time employees or have no centralized office. Your duties include providing a wide range of administrative support, maintaining an executive’s schedules and business appointments, and handling travel arrangements. Other tasks you may have as a virtual executive assistant include calling vendors, providing project management assistance, and helping with customer service.

What is an executive virtual assistant?

An Executive Virtual Assistant (EVA) is a remote professional who provides high-level administrative, organizational, and strategic support to executives, business owners, or entrepreneurs. They manage tasks such as email and calendar management, travel arrangements, meeting coordination, document preparation, and project management. EVAs help streamline operations, allowing executives to focus on core business activities. Their role often requires strong communication, discretion, and multitasking skills.

What are the typical daily responsibilities of an executive virtual assistant?

An Executive Virtual Assistant's daily tasks often include managing calendars and scheduling meetings, coordinating travel arrangements, handling email correspondence, preparing reports or presentations, and maintaining confidential records. You may be responsible for prioritizing executive communications, conducting research, processing expense reports, and sometimes interacting with clients or stakeholders on behalf of executives. This role requires strong time management as you’ll frequently juggle multiple priorities while working independently. Collaboration with executives and other team members is a key part of the job, ensuring smooth business operations despite working remotely.

What are the key skills and qualifications needed to thrive as an executive virtual assistant?

To thrive as an Executive Virtual Assistant, you need excellent organizational skills, attention to detail, proficiency in administrative tasks, and relevant experience or education in office management or business administration. Familiarity with cloud-based communication tools (such as Slack or Zoom), calendar management software (like Google Workspace or Microsoft Outlook), and project management platforms (such as Trello or Asana) is often required. Strong interpersonal communication, discretion, adaptability, and proactive problem-solving set outstanding candidates apart. These skills are critical because Executive Virtual Assistants must manage complex schedules, sensitive information, and high-level correspondence while supporting leadership remotely.

How do I become an executive virtual assistant?

To become an executive virtual assistant, you typically need strong organizational, communication, and time management skills, along with proficiency in tools like Microsoft Office or Google Workspace. Relevant experience in administrative support or customer service can be beneficial, and some roles may require specific certifications or training. Job description

Description

SAIC is seeking an exceptional, high-energy Executive Assistant to support the SVP of Strategy and Growth for the Air Force, Space, and Intelligence (AFSI) Business Group — one of the most strategically vital leadership roles within SAIC's corporate portfolio. This is a high-visibility role at the center of an organization whose work directly shapes how the United States Air Force, Space Force, and Intelligence Community are supported and empowered.

Who You Are

You are an accomplished executive support professional who has built your career in high-stakes, mission-driven environments and is ready for a role that matches your full capability. You may have supported senior leaders at the Pentagon, a government intelligence agency, or a major defense organization. You anticipate needs before they arise, bring strong analytical instincts and sound judgment to every situation, and take genuine pride in enabling the success of the leaders and organizations you support. You are professional, personable, and collaborative — someone who builds trust quickly, communicates with confidence, and holds yourself to the highest standard of excellence.

Job Responsibilities:

Executive Partnership

  • Serve as the SVP’s trusted partner, anticipating needs, managing priorities, and ensuring precise execution of commitments. Prepare briefing materials, pre-reads, and coordinate pre-meetings to fully equip the SVP for all engagements.

Cross-Organizational Coordination

  • Act as the central coordination hub between the SVP’s office and senior leaders across the enterprise. Build strong relationships across strategy, BD, capture, finance, contracts, legal, and HR to enable seamless communication and collaboration.

External Business-to-Business Coordination

  • Manage high stakes external engagements with partners, primes, and joint ventures. Coordinate executive visits, external correspondence, and support teaming and NDA logistics with legal and contracts teams.

Defense Industry & Growth Support

  • Apply defense aerospace knowledge to coordinate customer engagements, strategic planning sessions, and industry forum participation (AFA, Space Symposium, GEOINT, AUSA). Track BD milestones, gate reviews, and decision timelines to keep the SVP informed and positioned for key decisions.

Calendar, Email & Communications

  • Manage the SVP’s complex calendar and inbox with strategic precision. Triage priorities, track action items, draft correspondence, and ensure timely, professional communication while exercising sound judgment on sensitive information flow.

Meeting & Event Execution

  • Lead planning and logistics for executive meetings, customer visits, and virtual engagements. Execute leadership off-sites, networking events, and team building activities for internal and external audiences.

Administrative Excellence

  • Maintain organizational charts, coordinate travel and expenses, manage SharePoint and document repositories, and proactively identify efficiency improvements across the SVP’s office.

Qualifications

Required Education and Experience:

  • Bachelor's degree and 10+ years of related work experience including 5+ years supporting C-Level Executives, preferably within a large organization, or 4 additional years of comparable experience in an executive administrative role within a professional business environment in lieu of a degree.

  • Proven experience supporting C-suite or SVP-level executives and coordinating across senior leaders in a large, matrixed organization.

  • Experience managing external business-to-business coordination with industry partners and senior government officials.

  • Familiarity with the U.S. Air Force, Space Force, and/or Intelligence Community — mission areas, organizational structures, and key programs.

  • Advanced Microsoft Office Suite — Outlook, PowerPoint, Excel, Word, and SharePoint; strong working knowledge of Zoom and Microsoft Teams.

  • Exceptional organizational skills, analytical problem-solving ability, and sound independent judgment with the capacity to anticipate challenges and determine effective courses of action with diplomacy and timeliness.

  • Superior written and verbal communication skills with the ability to engage professionally and credibly at all levels.

  • Enthusiastic, positive, and collaborative working style with the ability to build relationships and contribute effectively as a team member.

  • Ability to manage multiple complex priorities with composure, flexibility, and consistent attention to detail.

  • Absolute discretion in handling sensitive strategy, business development, and competitive information.

  • Working knowledge of security protocols and controlled environment requirements common in defense and intelligence settings.

  • U.S. Citizenship required.

  • Must have the ability to obtain and maintain a TS/SCI Clearance.

Preferred Experience:

  • Active TS/SCI Clearance

  • Defense aerospace industry experience strongly preferred; familiarity with government contracting, BD lifecycles, and defense program environments is a meaningful differentiator.

  • Experience supporting senior executives at the Pentagon, a major government intelligence agency, or equivalent national security environment is highly valued and will be given strong preference.

Target salary range: $80,001 - $120,000. The estimate displayed represents the typical salary range for this position based on experience and other factors.
