This role is an in office role, located in Bellevue, TN

The Executive Support Associate serves as a high-impact partner to the CEO, ensuring seamless coordination of executive priorities, office operations, and predictive business analytics. This hybrid role blends executive support, operational execution, and data-driven analysis to drive measurable improvements in leadership efficiency, inventory accuracy, and customer satisfaction.

The ideal candidate is highly organized, analytical, and proactive — someone who anticipates needs, thrives in a fast-paced environment, and contributes to both the strategic and tactical execution of company goals.

Executive & Leadership Support
  • Manage CEO calendar, travel, correspondence, and task prioritization.
  • Accompany CEO on customer visits, business trips, and industry events as needed.
  • Prepare meeting materials, presentations, and agendas; capture action items and ensure follow-up completion.
  • Anticipate leadership needs and proactively prepare reports or insights in advance of meetings.
  • Handle confidential information with discretion and professionalism.
Operational Oversight & Administration
  • Oversee daily office operations, ensuring timely communication, scheduling, and workflow visibility.
  • Coordinate logistics for leadership meetings, vendor/customer visits, and cross-functional initiatives.
  • Draft and distribute correspondence, reports, and executive summaries.
  • Support cross-department accountability — ensuring deadlines, deliverables, and priorities are met.
Predictive Inventory & Data Analysis
  • Monitor inventory levels using ERP/CRM systems and forecast demand trends to reduce shortages or overstock.
  • Analyze sales and usage data to generate actionable insights and cost‑saving recommendations.
  • Develop replenishment and purchasing strategies to optimize working capital and product availability.
  • Partner with operations and finance teams to align data accuracy with business decisions.
Qualifications
  • 3+ years of experience in executive support, operations, or analytical project management.
  • Strong organizational, communication, and multitasking abilities.
  • Proficiency with Microsoft Office Suite; experience with ERP and HubSpot preferred.
  • Analytical mindset with ability to interpret and communicate data insights clearly.
  • Proven discretion when handling confidential information.
  • Flexibility to travel (domestic/international).
