We are seeking a polished, proactive, and service-oriented Front Desk Receptionist & Office Coordinator to be the first point of contact for our clients and visitors. This role is essential to maintaining the elevated showroom experience our clients expect, while also providing key administrative and operational support to the broader team.
Primary Responsibilities:
  • Greet and welcome all clients and visitors with professionalism, discretion, and warmth.
  • Manage a multi-line phone system: screen, route, and respond to calls as appropriate.
  • Direct guests to the correct contacts or meeting locations within the showroom and office.
  • Maintain a pristine and well-stocked reception and waiting area at all times.
  • Oversee showroom security protocols: monitor logbooks and cameras and manage guest access.
  • Receive and sort mail, deliveries, and packages.
  • Order and track office, kitchen, and showroom supplies; maintain inventory levels.
  • Support in-office and showroom event setup, including VIP visits, and client hospitality needs (e.g., coffee, refreshments).
  • Assist the executive teams with administrative tasks including filing, data entry, printing, and shipping.
  • Work closely with the Business Operations team to support special projects, including process documentation, showroom operations, and administrative coordination.
  • Help maintain internal reference documents such as SOPs, call logs, and staff directories.
  • Other administrative or operational duties as assigned.
Requirements:
  • 2+ years of experience in a receptionist, administrative, or office coordinator role-experience in luxury retail or hospitality strongly preferred.
  • Proficiency in Microsoft Office Suite and comfort with general office equipment.
  • Exceptional communication skills and a polished, professional appearance and demeanor.
  • Strong organizational and multitasking abilities, with keen attention to detail.
  • High level of discretion and professionalism, particularly in handling VIP clientele and showroom access.
  • A proactive, team-oriented attitude and the ability to anticipate needs before they arise.
Compensation:
  • Salary range: $50,000-$60,000 per year.
