About the Role
Our partner is a hospitality-driven ecosystem building and investing in purpose-led brands across beverage alcohol and hospitality-adjacent CPG. They operate at the intersection of commerce and purpose, where disciplined strategy meets meaningful experience. Their portfolio includes brand growth and sales agencies, hospitality concepts, marketing and events, and a nonprofit foundation dedicated to food access and education.
Across every entity, they prioritize thoughtful growth, financial discipline, and leadership development, creating platforms where emerging brands scale with integrity and individuals build careers with purpose. They don't just launch businesses, they design ecosystems that empower founders, support operators in the field, and deliver experiences grounded in hospitality, inclusivity, and intentional design.
The Executive Assistant supports the Founder & CEO directly across the parent entity and the operating portfolio. This is a high-trust, high-context seat: you manage the calendar, inbox, meeting flow, travel, and operational hygiene that lets the Founder lead across multiple entities without losing focus.
The Executive Assistant works closely with the Director of Field Operations, the Operations Manager, and the Executive Growth Partners across all Divisions. This is not a scheduling seat. You are an operating partner to the Founder.
What You Will Do
  • Own the Founder's calendar across all entities, balancing strategic time, client engagements, payroll cycles, and cross-entity operating cadence
  • Triage inbound communications across multiple inboxes and channels, drafting and sending on behalf of the Founder when appropriate
  • Prepare meeting agendas, take and distribute notes, and track follow-ups and action items across the leadership team
  • Coordinate travel across business and personal trips, including agency events, client visits, and industry conferences
  • Manage expense reports, receipt tracking, and reimbursement coordination across entities
  • Maintain document hygiene in Google Drive, Asana, and the contract repository
  • Coordinate with Gusto on payroll cycles, new hire onboarding documentation, and contractor agreements
  • Be the trusted operational extension of the Founder across confidential matters: contracts, equity discussions, compensation adjustments, founder-to-founder conversations
  • Support cross-entity initiatives requiring coordination across multiple operating teams
  • Leverage AI tools to draft communications, summarize meetings, and streamline workflows by crafting effective, context-aware prompts and automations
Who We Are Looking For
  • Five or more years of executive support experience, ideally supporting a founder or C-level executive across multiple business lines
  • Exceptional calendar and inbox management discipline
  • High emotional intelligence and strong sense of confidentiality
  • Comfortable with rapid context-switching across multiple entities and brand voices
  • Strong written communication; able to draft, edit, and send on behalf of the Founder when needed
  • Proficient with Google Workspace, Asana, Gusto, and other modern operations tooling
  • Hospitality-minded operator who treats every internal and external interaction as part of the brand promise
  • Self-directed and proactive; you spot the next move before it is asked for
  • Comfortable with executive-level confidentiality across personal and business matters
  • Demonstrated aptitude for integrating generative AI and automation tools into administrative workflows to enhance productivity and output quality.

Salary
$65,000 - $70,000 per year
