Executive Operations Specialist

Invariant Corporation is seeking an Executive Operations Specialist ready to work in a dynamic environment and provide outstanding support services to Invariants executive team. The ideal candidate enjoys serving in a support role, coordinating meetings and events, and is comfortable engaging with executives to ensure key priorities are a daily focus.

Duties Include:

  • Calendar Management: Coordinate schedules for internal and external stakeholders to support executive meetings and travel planning.
  • Meeting Coordination and Support: Ensure the appropriate individuals are in attendance, set up conference rooms with appropriate seating and compute resources, gather any presentation material and provide as read ahead, and attend meetings to document minutes and generate action items.
  • Action Tracking: Work with executive team and management to maintain corporate action item lists and to include assigning POCs and working with POCs to ensure actions are completed in a timely manner.
  • Data Gathering and Entry: Coordinate with executives and management to gather necessary data related to financial metrics, program status, business leads, etc. and ensure this data is accurately documented in appropriate locations.
  • Perform other duties as assigned or required.

Requirements:

Candidate must have a minimum of a BS degree or higher in Business or related program from an accredited college/university and at least 5 years of relevant experience. Experience in lieu of degree may be considered for highly qualified candidates.

This position requires the following:

  • Ability to work well in a small, fast-paced, and mission-driven environment with co-workers, executive leadership, and management
  • Detail oriented with a commitment to a high level of customer service.
  • Proficiency with Microsoft Office applications
  • Professional demeanor and experience as a front-office point of contact
  • Must be able to communicate effectively with engineers, customers, and business professionals
  • Active Secret Clearance

Preferred qualifications include familiarity with some or all, of the following:

  • 10+ years of experience working as an executive assistant or business operations role for a contractor supporting the Department of War.
  • Basic knowledge of AI tools for operational efficiency
  • Active Secret Clearance

This position is expected to be performed only in the state of Alabama. Subject to the provisions of Code of Alabama 40-18-370, the Company shall give good faith consideration to Alabama residents for employment at the Project.
