Job description

Ocean Spray is hiring for a(n) Sr. Executive Assistant! We're a team of farmers, thinkers, creators, and doers. Position Location: We're all about flexibility! This will be a hybrid role based out of our corporate headquarters in Lakeville, MA with Mondays and Fridays remote.

As the Sr. Executive Assistant to the CEO, you will act as a partner in enabling executive effectiveness, anticipating needs, and navigating competing priorities in a dynamic, fast-paced environment while also overseeing the seamless operation of our corporate and satellite offices. In addition, you will handle sensitive matters with discretion and ensure leaders and teams operate efficiently through strong coordination, sound judgment, and continuous process improvement.

A Day in the Life...

  • Serve as a trusted partner to the CEO, operating with a high degree of discretion, judgment, and professionalism in a fast-paced environment
  • Manage highly complex and dynamic executive calendar, prioritizing competing demands, optimizing time against business priorities, and acting as a strategic gatekeeper
  • Anticipate executive needs by preparing meeting materials, coordinating logistics, and ensuring appropriate follow-up to drive alignment and execution
  • Lead and oversee corporate and satellite office operations, ensuring a seamless, efficient, and high-quality workplace experience that supports organizational effectiveness
  • Provide leadership and coordination for facilities and office services, including supervision of facilities activities, security badge administration, and reporting (e.g., attendance tracking)
  • Drive facility and workplace initiatives, including office layout planning, moves, and improvement projects, in close coordination with technology and other cross-functional teams
  • Oversee administrative operations across locations, ensuring consistency, efficiency, and continuous improvement of processes and services
  • Partner with finance to manage office and facilities budgets, including invoice tracking, purchase order management, and vendor coordination, serving as a super user for systems such as Ivalua
  • Serve as a technical and process expert, leveraging strong digital acumen to optimize tools (e.g., Outlook, Travel Bank) and introduce innovative approaches to improve productivity and workflows
  • Facilitate effective communication across all levels of the organization through clear, concise, and professional verbal and written interactions
  • Proactively identify opportunities to streamline processes and enhance operational efficiency, implementing best practices and sharing knowledge to elevate administrative standards
  • Support Chairman of the Board and Board of Directors with logistics for Board meetings, roadshows, and executive events; serve as a resource in tools such as Diligent and provide onsite support as needed
  • Oversee office interactions and stakeholder requests, ensuring responsive, solutions-oriented service and a high touch experience
  • Support onboarding new team members, contributing to a positive and well-coordinated introduction to the organization
  • Perform additional executive and administrative responsibilities as needed to ensure the effectiveness and success of leadership and broader organization

What We Are Looking For:

  • Business software applications, specifically Microsoft Office Suite and/or Office 365
  • Proven ability to manage teams and support executives
  • Proven ability to handle confidential matters with tact and diplomacy
  • Prior experience in most of the business support functions: administrative services, office services, maintenance, event planning/corporate events
  • Comfortable working in a fast-paced office environment
  • Excellent written and verbal communication skills

$96,200 - $120,200
