Job Summary
Experienced, highly organized, proactive, and detail-oriented Executive Assistant to provide high-level administrative support to leadership team. The ideal candidate will be a trusted team member who can manage multiple priorities, maintain confidentiality, prioritize the company culture, and ensure communications and operations run efficiently and effectively.
Job Duties and Responsibilities
  • Provide executive level administrative support to company administrative and operational leadership.
  • Prepare, edit, and distribute correspondence, reports, presentations, and meeting materials
  • Play an active role in managing calendars, coordinating appointments, and scheduling meetings
  • Assist the company’s efforts in recruitment and onboarding of new employees
  • Provide support between employees and HR consultant
  • Provide support between employees and benefit provider
  • Provide support between employees and IT team
  • Arrange client and vendor visit details as needed including travel, in-office needs and internal scheduling, onsite events, transportation, catering, etc.
  • Communicate with clients and vendors as needed
  • Develop working relationships with the various internal teams
  • Manage and order supply inventories for all company departments
  • Manage and distribute company supplied, logoed apparel as needed across all company departments
  • Manage employee incentive programs across all departments
  • Assist in planning quarterly all-staff meetings
  • Plan and lead annual company events (Christmas party, etc.)
  • Coordinate with local civic organization for any company programs, sponsorships and events
  • Exhibit flexibility in managing tasks
  • Employ effective problem solving
  • Other duties as assigned
Job Requirements and Qualifications
  • Previous experience in an administrative support role
  • Bachelor’s degree in business or related field preferred
  • Experience in administrative, marketing, and sales support desired
  • Ability to work with a team or independently
  • Strong attention to detail
  • Strong ability to prioritize and multitask
  • Desire to learn and grow with our company
  • Excellent written and interpersonal communication skills
  • Maintain high level of confidentiality
  • Proficient computer skills, including strong Microsoft Office Suite experience
