Job description

Executive Assistant I GPG

MedStar Medical Group is seeking a highly organized, resourceful, and professional Executive Assistant I GPG to support the Physician Executive Director, MedStar Health Urology and the Chair, Department of Urology at MedStar Georgetown University Hospital.

In this key role, you will help coordinate the department's daily administrative, operational, personnel, and financial activities. You will work closely with department leadership, physicians, staff, and internal and external partners to keep priorities moving forward and ensure efficient operations.

The ideal candidate is a proactive problem-solver who demonstrates sound judgment, communicates with confidence, and can effectively manage multiple priorities in a fast-paced healthcare environment.

Primary Duties and Responsibilities:

  • Provide comprehensive administrative support to department leadership, including managing calendars, coordinating appointments and travel, screening calls, conducting research, preparing reimbursements, and supporting routine activities and special projects.
  • Prepare, proofread, and distribute correspondence, reports, presentations, spreadsheets, policies, newsletters, agendas, meeting materials, and minutes while maintaining accurate and accessible departmental files and databases.
  • Serve as a key liaison among department leadership, physicians, Medical Center personnel, outside organizations, and other departments to exchange information, coordinate services, and complete administrative priorities.
  • Support departmental operations by compiling statistical data, monitoring operating and capital budgets, tracking reimbursements, coordinating purchase orders and inventory, and helping manage technology and equipment needs.
  • Assist with personnel-related activities, including interviewing, hiring, scheduling, onboarding, training, staff coverage, performance support, and continuing education, as delegated by department leadership.
  • Coordinate physician licensing and hospital privilege renewals and, when applicable, register and schedule patients, verify referral information, and ensure appointment details are entered accurately.

Minimal Qualifications:

  • Associate degree required; bachelor's degree preferred. An appropriate combination of education, training, and experience will also be considered.
  • 3 years of progressively responsible office experience is required.
  • Supervisory experience or previous experience at a comparable administrative level is preferred.
  • Excellent verbal and written communication, organizational, and interpersonal skills.
  • Strong attention to detail and the ability to manage competing priorities.
  • Sound judgment, professionalism, discretion, and a commitment to confidentiality.
  • Extensive knowledge of computer software and hardware, including word processing, database, desktop-publishing, statistical, presentation, and communication applications.
  • Ability to develop effective working relationships with leaders, physicians, colleagues, patients, and external partners.
  • Commitment to delivering an exceptional experience in every interaction.

This position has a hiring range of USD $59,820.00 - USD $101,836.00 /Yr.
