Executive Assistant To The CEO

A highly respected, mission-driven organization is seeking a polished and proactive Executive Assistant to the CEO to serve as a strategic partner and right hand to executive leadership. This individual will play a critical role in ensuring the CEO operates at the highest level of efficiency, while also supporting key organizational initiatives, stakeholder engagement, and internal coordination.

Position Overview

The Executive Assistant will provide high-level administrative and strategic support to the CEO, managing complex scheduling, communications, and priorities. This role requires exceptional judgment, discretion, and the ability to anticipate needs while serving as a key liaison to internal teams, board members, donors, and community stakeholders.

Key Responsibilities

  • Serve as the primary point of contact and gatekeeper for the CEO
  • Manage a highly complex and ever-changing calendar, prioritizing competing demands
  • Coordinate and prepare the CEO for meetings, including agendas, briefing materials, and follow-ups
  • Draft, review, and manage communications on behalf of the CEO with a high level of professionalism and discretion
  • Act as a liaison between the CEO and internal teams, board members, donors, and external partners
  • Coordinate travel arrangements, itineraries, and expense reporting
  • Support board relations, including scheduling, materials preparation, and communication
  • Assist with planning and execution of events, meetings, and organizational initiatives
  • Track key priorities, action items, and projects to ensure timely execution
  • Maintain strict confidentiality on all sensitive matters

Qualifications

  • 5+ years of experience supporting C-level executives, preferably a CEO
  • Experience in nonprofit, foundation, or mission-driven organizations strongly preferred
  • Exceptional organizational and time management skills with the ability to multitask at a high level
  • Strong written and verbal communication skills; ability to represent executive voice effectively
  • Proven ability to exercise sound judgment, discretion, and professionalism
  • Experience interacting with high-level stakeholders, including board members and donors
  • Proficiency in Microsoft Office, calendar management tools, and CRM systems (e.g., Salesforce preferred)
  • Highly proactive, detail-oriented, and solutions-driven
