We're seeking a highly organized, proactive, and relationship-focused Executive Assistant to the Provost & Chief Academic Officer to serve as a trusted partner within Academic Affairs. The Impact You'll Make
As Executive Assistant to the Provost, you'll serve as the operational backbone of the Office of Academic Affairs, helping ensure the successful execution of institutional priorities, governance activities, accreditation initiatives, and strategic projects.
You'll work closely with university leaders, faculty, staff, and external partners to coordinate critical work that supports academic excellence and student success.
Your contributions will include:
Executive Partnership
  • Managing the Provost's complex calendar, scheduling priorities, travel, and meeting logistics
  • Preparing executive correspondence, reports, presentations, briefing materials, and communications
  • Serving as a trusted point of contact for the Provost's Office
  • Maintaining confidential information with professionalism, discretion, and integrity

Academic Affairs Operations
  • Coordinating activities across Academic Affairs, including Nursing, General Education, Curriculum & Instruction, Assessment, Faculty Affairs, Compliance, Clinical Operations, and Student Services
  • Supporting academic calendar management, catalog updates, handbook revisions, and institutional reporting
  • Maintaining project plans, timelines, action logs, and operational dashboards
  • Assisting with policy development, documentation, and process improvement initiatives

Governance & Strategic Initiatives
  • Supporting governance committees, leadership councils, and executive meetings
  • Coordinating agendas, meeting materials, action items, and follow-up activities
  • Maintaining official records, meeting minutes, and institutional documentation
  • Tracking strategic initiatives and executive decisions through completion
  • Assisting with accreditation activities, self-studies, regulatory reporting, and site visit preparation

Communication & Relationship Building
  • Coordinating communications across faculty, staff, students, university leadership, and external partners
  • Supporting communication plans for major initiatives and organizational change efforts
  • Building trusted relationships that strengthen collaboration and alignment across the institution

Requirements
What You'll Bring
We're looking for someone who combines exceptional organization and execution skills with a genuine commitment to service, collaboration, and continuous improvement.
Required Qualifications
  • Bachelor's degree or an equivalent combination of education and experience
  • Minimum of five years of progressively responsible executive administrative support experience
  • Experience supporting senior leaders in a complex organizational environment
  • Advanced proficiency with Microsoft Office Suite, Outlook, Teams, Zoom, and project management tools
  • Strong organizational, communication, and prioritization skills

Preferred Qualifications
  • Experience in higher education, healthcare, or another regulated environment
  • Experience supporting accreditation, governance, board operations, or academic administration
  • Familiarity with CampusNexus, learning management systems, and higher education technology platforms
  • Project management experience
