Executive Assistant to the President


The Opportunity


Our client, a respected mission-driven organization, is seeking a highly organized and proactive Executive Assistant to the President.


This highly visible role provides executive and operational support to the President while working closely with senior leadership, Board members, donors, and external stakeholders. The position also offers exposure to fundraising, communications, social media, and special events.


Key Responsibilities


Executive & Administrative Support

  • Manage the Presidentโ€™s complex calendar, meetings, travel, itineraries, and expenses.
  • Prepare presentations, reports, agendas, briefing materials, correspondence, and meeting documentation.
  • Coordinate Board meetings, packages, minutes, action items, and follow-ups.
  • Act as a key liaison with Board members, senior leaders, donors, and external stakeholders.
  • Anticipate priorities, manage follow-ups, and support the President in day-to-day operations.
  • Maintain confidential information and update donor/prospect information within the CRM.


Fundraising, Communications & Events

  • Support fundraising campaigns, donor engagement, giving initiatives, and related administration.
  • Assist with social media content, communications, newsletters, event promotions, and digital content.
  • Support the planning and execution of special events, including invitations, guest lists, vendors, catering, materials, and on-site coordination.
  • Accompany the President to select meetings, donor engagements, community initiatives, and events.
  • Occasional evening and weekend availability is required.


Qualifications

  • 3โ€“5 years of experience in an Executive Assistant, Administrative Assistant, Coordinator, or similar role.
  • Experience supporting a President, CEO, senior executive, Board, or leadership team strongly preferred.
  • Experience within a nonprofit, charitable, educational, philanthropic, or fundraising environment is an asset.
  • Strong calendar management, organization, communication, and stakeholder-management skills.
  • Experience supporting social media, communications, and/or events.
  • Experience with CRM or donor databases; Raiserโ€™s Edge is an asset.
  • Excellent judgment, discretion, attention to detail, and ability to manage competing priorities.
