Executive Assistant to the CEO & Executive Team

Richmond Hill, ON

$68,000-$75,000 per year | Full-Time | Monday-Friday | In Office

Support Executive Leaders. Help Drive Our Business.

Wagonmaster Group is looking for an experienced Executive Assistant to support our CEO, COO, and Administration Director.

This is a highly visible role for someone who thrives in a fast-paced environment, enjoys staying one step ahead, and takes pride in keeping senior leaders organized, informed, and focused.

What You'll Be Doing

  • Manage complex calendars for three senior executives
  • Coordinate meetings, conference calls, and leadership events
  • Arrange business travel, accommodations, and detailed itineraries
  • Prepare presentations, reports, executive correspondence, and meeting materials
  • Record meeting minutes and follow up on action items
  • Coordinate company meetings, leadership events, and special projects
  • Maintain confidential corporate records and executive files
  • Assist with CRM user onboarding and basic administration
  • Coordinate updates to the company website and social media with internal and external partners
  • Support executive initiatives while ensuring deadlines and priorities stay on track

What We're Looking For

  • 5+ years of experience as an Executive Assistant supporting senior executives
  • Experience supporting multiple executives simultaneously
  • Exceptional organizational and time-management skills
  • Outstanding written and verbal communication skills
  • Advanced proficiency with Microsoft Outlook, Word, Excel, PowerPoint, and Teams
  • Strong attention to detail and ability to manage multiple priorities
  • Professional judgment with the ability to handle confidential information
  • Experience coordinating executive travel, meetings, and corporate events
  • Post-secondary education in Business Administration or a related field is an asset
