Job description

Job Functions: Perform the executive assistant duties that include office

Management, administrative, and customer functions to support

The daily operations for business operations.

Administrative

  1. Perform administrative and clerical duties.
  2. Procure and maintain office equipment and supplies.
  3. Coordinate and maintain the executive filing system.
  4. Keep the executive officers informed of concerns that come to the attention of the Executive Assistant as appropriate.
  5. Will be performing assigned function of Business Operations.
  6. Coordinate incoming and outgoing correspondence.
  7. Assists in the orientation process for new employees.

Office Management

  1. Communicate regularly with program staff and managers as an extended voice of the executive officers.
  2. Maintain a professional communication system (voice-mail automated system).
  3. Serve as the tech support for office machines and equipment.
  4. Maintain confidentiality of agency files, records, and archive files as in accordance with policies.

Customer Service

  1. Maintain a high professional reception area that includes warmth, friendliness and sense of welcomeness.
  2. Coordinates refreshments and room set up for Executive Officers (i.e., management meetings, board, consultant visits, etc.); ensures that for other Council meetings refreshments and room set up are being carried out appropriately.
  3. Order floral needs for the Agency.

Other Duties

  1. Make a visit to a campus as required.
  2. Abide by the Personnel Policy Manual and other policy and procedure manuals as adopted by the Agency.
  3. Demonstrate the program philosophy, policies, and procedures.
  4. May attend meetings and/or conferences to represent the executive officers.
  5. Respect professional protocol.
  6. Abide by BCHS Code of Conduct.
  7. Perform other work-related duties as assigned.

Education: Prefer an Associates of Arts in Business Management or related degree or college level course work.

Experience: Prefer three (3) or more years of related secretarial, administrative, and/or office

experience. Must have knowledge of computer software programs such as Microsoft, word, excel, etc.

Physical and/or

Mental Requirements:

Ability to read, write, and understand English well.

Ability to understand and carry out verbal and written commands.

Ability to organize and prioritize workload; ability to meet deadlines.

Physically fit to endure 4 to 6 hours working a computer terminal.

Physically capable to perform office errands (i.e. walking, driving, etc.)

Physically fit to lift up to 30-40 pounds.
