Position Overview
The Executive Assistant plays a critical role in advancing the mission of JFS by providing high-level administrative and operational support to the President/CEO and Leadership Team. This position is central to ensuring the effectiveness and efficiency of leadership efforts that guide our services and impact in the community.
Given the nature of the role, the Executive Assistant is entrusted with sensitive information and must consistently demonstrate discretion, professionalism, and sound judgment. This individual serves as a key liaison among leadership, Board members, and community stakeholders-helping to sustain the relationships and processes that enable JFS to fulfill its mission.
Key Responsibilities
  • Support the President/CEO and Leadership Team in advancing the organization's mission and strategic priorities.
  • Manage complex calendars and coordinate meetings that drive organizational impact.
  • Serve as a point of communication on behalf of the President/CEO, handling correspondence with professionalism and care.
  • Prepare, review, and edit documents, ensuring clarity and alignment with organizational standards.
  • Coordinate Board of Directors and committee activities, including scheduling, materials preparation, and minutes.
  • Track Board member terms, committee assignments, and organizational reporting requirements.
  • Organize and maintain critical administrative systems, including governance documents and agency policies.
  • Coordinate travel arrangements and special projects for leadership as needed.
  • Assist in preparing reports and materials that measure progress toward JFS strategic goals.
  • Support agency-wide meetings and communications, reinforcing transparency and collaboration.
  • Provide general administrative support, contributing to the smooth functioning of daily operations.

Requirements
  • Minimum of an Associate's degree in business or management
  • Minimum of 3 years related experience supporting at the executive level.
  • Strong word/data processing skills with expert knowledge of Microsoft Office 365 is required.
  • Experienced in handling a wide range of administrative and executive support-related tasks and will be able to work independently with little or no supervision.
  • Be exceedingly well organized, flexible and enjoy the administrative challenges of supporting the President/CEO and Leadership Team. The ability to interact with staff (at all levels), the Board of Directors, community leaders and other business partners in a fast-paced environment, sometimes under pressure, while remaining flexible, proactive, resourceful and efficient, with a high level of professionalism and confidentiality is crucial to this role.
  • Expert-level written and verbal communication skills, strong decision-making ability and attention to detail are equally important.Must have a valid driver's license, access to reliable vehicle, and automobile insurance coverage throughout employment.
  • Knowledge, understanding, and/or willingness to learn Jewish culture and traditions and those of the Agency population as necessary.
  • Accept other duties and responsibilities as assigned.
  • Candidates must successfully pass a criminal background check with the Wisconsin Department of Justice and a caregiver background check with the Wisconsin Department of Health Services, the Department of Children and Families and the Department Safety and Professional Services.
  • Candidates must pass a Dru Sjodin National Sex Offender and Wisconsin Sex Offender Registry screening.
