Are you the type of Executive Assistant who can juggle calendars, craft polished presentations, and dominate an Excel spreadsheet - all before your second cup of coffee? We're partnering with a dynamic, mission-driven financial advisory firm that’s searching for a sharp, high-performing Executive Assistant to be the right hand to the CEO and the heartbeat of office operations.
This is more than an admin role - it’s an opportunity to lead with excellence, support high-level leadership, and keep the business running like a well-oiled machine.
Your Day-to-Day:
  • Calendar & Scheduling Pro: Manage a high-volume, fast-paced calendar for the CEO and key executives. Schedule meetings, prep agendas, and ensure no ball gets dropped.
  • Communication Hub: Be the point of contact for internal and external stakeholders. Manage inboxes, screen calls, route correspondence, and maintain a smooth flow of communication.
  • Meeting Guru: Organize and attend leadership and board meetings. Take clear, actionable notes and follow through on tasks.
  • Project & Office Manager: Keep daily operations humming - from ordering supplies to managing filing systems and spearheading special projects.
  • Travel & Events Coordinator: Book travel, arrange logistics, and secure venues for community and offsite events.
  • Excel & Reporting Wizard: Handle data, reports, budgets, and presentations with accuracy and polish. You can pivot tables in your sleep and make spreadsheets sing.
  • Culture Champion: Foster positivity, professionalism, and a problem-solving mindset across the organization.
What You Bring:
  • 5+ years of executive-level office management (bonus if in financial services, nonprofit, or professional services)
  • Experience supporting C-suite executives or managing partners a plus
  • Associate’s Degree or equivalent experience
  • Tech-savvy with Microsoft Office Suite - especially Outlook, Excel, and Word
  • A proactive, detail-obsessed, get-it-done attitude
  • Stellar verbal and written communication skills
