BASIC PURPOSE:
Provides high-level administrative support primarily to the Chief Legal and Compliance Officer and Chief Human Resources Officer. Manages complex, confidential administrative responsibilities including scheduling, prioritization, communications, and coordination of key initiatives. Serves as backup support to the Executive Assistant to the Chief Executive Officer, ensuring continuity of executive operations. Demonstrates excellence in client focus, collaboration, integrity, communication, and strategic thinking.
ESSENTIAL FUNCTIONS:
  • Provides comprehensive administrative support to the Chief Legal and Compliance Officer and Chief Human Resources Officer, including calendar management, meeting coordination, and travel arrangements.
  • Prepares executives for meetings by gathering, organizing, and synthesizing materials, including legal, HR, and business-related documents, ensuring alignment with strategic priorities.
  • Coordinates meetings and communications with internal stakeholders, external counsel, regulatory bodies, and other business partners with a strong focus on delivering exceptional client service.
  • Drafts, edits, and manages sensitive correspondence, presentations, reports, and communications on behalf of executives, ensuring clarity, accuracy, and professionalism.
  • Maintains strict confidentiality while handling highly sensitive legal, employee, and organizational information, exemplifying the highest level of integrity.
  • Facilitates cross-functional collaboration by coordinating with senior leaders, Human Resources, Legal, and other departments to support critical initiatives and projects.
  • Manages logistics for executive meetings, including agenda development, document distribution, and follow-up actions, fostering clear and effective communication.
  • Anticipates executive needs and proactively identifies opportunities to improve processes, enhance efficiency, and support strategic priorities.
  • Serves as backup to the Executive Assistant to the Chief Executive Officer, including calendar management, meeting coordination, and support for Executive Leadership Team activities.
  • Supports special projects, board-related activities, and enterprise initiatives for Legal, HR, and executive leadership as needed.

KNOWLEDGE, SKILLS, ABILITIES:
  • Ability to manage complex administrative work requiring independent judgment, initiative, and adaptability
  • Exceptional organizational skills with strong attention to detail and the ability to manage multiple priorities seamlessly
  • Advanced proficiency in Microsoft Office (Outlook, Word, Excel, PowerPoint), Adobe Acrobat, and collaboration tools
  • Strong interpersonal and relationship-building skills with the ability to engage effectively at all levels of the organization
  • Ability to operate in a fast-paced environment with professionalism and composure

MINIMUM REQUIREMENTS
Bachelor's degree and a minimum of 5 years of experience supporting senior executives, preferably within Legal, Human Resources, or corporate environments; or an equivalent combination of education and experience.
Work Location: This individual must reside within commuting distance from our Atlanta, GA office. This position may not be filled in New Jersey, either in-person or remotely.
Work Schedule: Onsite with an opportunity to work remote partially.
