Executive Assistant to the CEO

The Role
An Executive Assistant to the CEO ensures the CEO operates efficiently and effectively day-to-day through expert calendar management, meeting preparation, and seamless coordination across stakeholders, including senior leadership and the board. This role serves as both gatekeeper and representative of the CEO's office, maintaining focus on priorities and ensuring nothing falls through the cracks.
Success requires strong judgment to operate in two modes: proactively anticipating needs and improving systems, while also executing quickly and precisely on detailed direction as priorities shift.
Calendar & Logistics
  • Own complex calendar management across internal and external stakeholders, including shifting priorities and multiple national and global time zones.
  • Proactively plan schedules, meetings, and focus time with business priorities in mind.
  • Coordinate domestic and international travel end-to-end (itineraries, logistics, contingencies).
  • Prepare daily and forward-looking materials to ensure the CEO is consistently prepared.
  • Coordinate meeting logistics (agenda, participants, materials, room/virtual setup, notes, and follow-ups).
  • Track time, travel, and related reporting with accuracy.

CEO Support & Prioritization
  • Gatekeep time and communications to minimize distractions and maximize effectiveness.
  • Balance competing priorities with sound judgment and clarity.
  • Represent the CEO's office with professionalism, discretion, and strong judgment.

Execution & Administrative Support
  • Maintain strong systems, organization, and documentation.
  • Manage and maintain CEO-related platforms and inboxes (e.g., LinkedIn, CRM, Salesforce, Asana, SharePoint), ensuring accurate tracking and timely updates.
  • Process expenses, invoices, and documentation with precision.
  • Draft, review, and send correspondence on behalf of the CEO.

Coordination & Communication
  • Serve as a central point of coordination between the CEO, staff, and Leadership Team.
  • Facilitate clear, timely communication across stakeholders.
  • Prepare materials, briefings, and presentations for meetings and engagements.
  • Build trust and maintain credibility through reliable follow-through.

Additional Support
  • Anticipate needs and maintain systems that streamline workflows and improve efficiency.
  • Support execution of special projects and company-wide events as directed.
