Job description

Position Summary:

The Catholic Diocese of Raleigh is seeking a highly professional, organized, and proactive Executive Assistant to support the Vicar General / Moderator of the Curia. This position plays a vital role in supporting executive governance by coordinating office operations, facilitating communication across diocesan departments, tracking key initiatives, and ensuring the effective implementation of priorities established by the Bishop of the Diocese of Raleigh.

The ideal candidate will possess exceptional organizational abilities, handle highly confidential matters with impeccable judgment, and serve as a welcoming, professional administrative ambassador for the Office of the Vicar General.

Key Responsibilities:

  • Executive Support & Operations: Oversee daily operations and workflow for the Office of the Vicar General to optimize office efficiency. Manage complex executive calendars, schedule priorities, coordinate travel arrangements, and maintain expense records.
  • Initiative & Project Tracking: Monitor, coordinate, and track follow-through on key operational projects and initiatives assigned by the Vicar General. Anticipate administrative needs and execute projects with minimal direct supervision.
  • Communication & Discretion: Serve as the principal administrative contact for the office. Triage incoming inquiries, research and draft high-level correspondence, and handle sensitive or confidential matters with absolute discretion.
  • Meeting & Event Coordination: Organize administrative details, prepare meeting agendas/materials, and oversee follow-up actions for diocesan meetings, committees, and special programs.
  • Stakeholder Engagement: Build and maintain collaborative, positive working relationships with clergy, parish leadership, chancery staff, board members, and external community partners.
  • Other duties as assigned.

Minimum Requirements:

  • Minimum of 5–8 years of high-level administrative or executive support experience (prior experience supporting senior executive or non-profit leadership highly preferred)
  • Bachelor’s degree preferred, or an equivalent combination of education and executive support experience in lieu of degree.
  • Active commitment to the mission of the Catholic Church, with a solid understanding of diocesan governance, ecclesial structure, and Catholic identity.
  • Advanced proficiency in Microsoft Office 365 (Word, Excel, PowerPoint, Outlook, Teams) and modern office productivity tools.
  • Core Competencies:
    • Excellent written and verbal communication skills.
    • Demonstrated ability to manage multiple priorities simultaneously in a fast-paced environment.
    • Sound judgment, composure under pressure, and strict adherence to confidentiality.
    • Ability to work collaboratively and effectively with clergy, lay leadership, and external stakeholders.
    • Professional demeanor reflective of the values and mission of the Diocese of Raleigh.
  • Employment is contingent upon passing a criminal background and reference check; must complete Diocese-sponsored Safe Environment Training upon hire.

Preferred Qualifications:

  • Proficiency in both English and Spanish (written and spoken).
  • Prior administrative experience within a Catholic parish/church, chancery, or other religious or non-profit organization.

Working Conditions:

  • Ability to use a computer keyboard for up to 8 hours/day.
  • Ability to sit for up to 8 hours/day.
  • Ability to lift up to 20 pounds.
