Executive Assistant


At ReLogic Research, you won't be just another headcount. We're a tight-knit team of engineers, physicists, and technical professionals solving complex challenges in national defense - and we're looking for a highly organized, discreet Executive Assistant who takes pride in keeping leadership informed and operations running smoothly.


As an AS9100D-certified small business supporting the Army, Navy, Air Force, and Missile Defense Agency, our C-suite operates across engineering, manufacturing, business development, and contracts simultaneously. This role exists to make that possible - ensuring that information reaching leadership is complete, accurate, and clearly organized for executive review, and that priorities flow clearly back to the organization.


The right candidate is highly organized, proactive, and skilled at pulling together the full picture before bringing items to leadership. Success in this role requires strong communication skills, professionalism, attention to detail, and consistent follow-through.


This is not a calendar-management-only executive assistant role. The ideal candidate enjoys organizing complexity and ensuring communication between leadership and the organization flows smoothly in both directions.


Primary Responsibilities

  • Support multiple C-suite executives with calendar management, scheduling, and coordination across internal and external stakeholders
  • Distill incoming operational updates, reports, and communications into concise, well-organized summaries with sufficient context for executive review
  • Proactively gather supporting information and context to ensure items brought to leadership are complete and ready for action
  • Communicate executive priorities, requests, and decisions clearly across the organization and follow up to ensure alignment and status visibility
  • Consolidate and maintain business development tracking including active proposals, key pursuits, deadlines, and status updates
  • Maintain and update candidate and hiring pipeline tracking, ensuring communications to leadership include role, status, and required actions clearly identified
  • Coordinate travel arrangements, meetings, and executive communications
  • Handle sensitive and confidential business, contractual, and personnel information with discretion and professionalism
  • Support internal communication between leadership and the broader organization


Required Qualifications

  • 3+ years of experience supporting senior executives in a professional environment
  • Exceptional written and verbal communication skills, with the ability to distill complex information clearly and concisely
  • Exceptional organizational skills and ability to manage multiple priorities simultaneously
  • High degree of discretion, professionalism, and attention to detail in handling confidential business information
  • Strong follow-through and ability to proactively pull together complete, accurate information for executive review
  • Proficiency in Microsoft Office including Outlook, Word, Excel, and PowerPoint
  • Must be a U.S. citizen with the ability to obtain and maintain a security clearance


Preferred Qualifications

  • Associate or bachelor's degree in business, communications, or a related field - or equivalent professional experience
  • Experience supporting executives in a defense, government contracting, or highly regulated environment
  • Experience tracking business development pipelines, proposals, or government contract schedules
  • Experience working with or within Japanese companies or organizations is a plus, particularly in environments emphasizing professionalism, business etiquette, attention to detail, and strong respect for executive time and communication
