WELCOME!Position Summary

The Executive Assistant provides high-level administrative, organizational, and operational support to a senior executive within a growing wellness and health manufacturing company. This role is integral in enabling executive leadership to focus on strategic initiatives, business performance, and cross-functional collaboration across a fast-paced, regulated environment.

The ideal candidate is highly organized, proactive, and comfortable managing complex priorities while maintaining discretion and professionalism. This position plays a key role in supporting executive operations, leadership coordination, and strategic initiatives that drive company growth.

Key Responsibilities
  • Manage the Executive's calendar, including scheduling meetings, prioritizing commitments, and coordinating travel arrangements.

  • Prepare and organize materials for executive meetings, leadership reviews, and strategic planning sessions.

  • Draft, edit, and format presentations, reports, and executive communications.

  • Serve as a key point of contact between the Executive and internal departments, external partners, and senior leadership.

  • Support the preparation of board materials, leadership updates, and executive reporting packages.

  • Track action items, deadlines, and follow-ups to ensure timely execution of priorities.

  • Coordinate logistics for executive meetings, audits, compliance-related activities, and special projects.

  • Maintain confidentiality of sensitive business, operational, and financial information at all times.

  • Assist with expense reporting, travel coordination, and administrative processes.

  • Support cross-functional communication between finance, operations, manufacturing, and leadership teams.

  • Help improve executive workflows and administrative efficiency across the organization.

  • Assist with document management, reporting organization, and internal process coordination.

Qualifications & Requirements
  • Bachelor's degree in Business Administration, Finance, Communications, or a related field preferred.

  • 3–5 years of experience supporting senior executives, preferably at the C-suite or executive leadership level.

  • Experience in wellness, health, consumer products, life sciences, or regulated manufacturing environments is a plus.

  • Strong organizational and time-management abilities.

  • Excellent written and verbal communication skills.

  • Advanced proficiency in Microsoft Office (Outlook, Excel, PowerPoint, Word).

  • Ability to manage multiple priorities in a fast-paced environment.

  • High level of professionalism, discretion, and confidentiality.

  • Strong attention to detail and follow-through.

  • Ability to work independently while supporting executive-level decision-making.

  • Experience coordinating meetings, reporting, and cross-functional initiatives.

Compensation & Schedule

Compensation: $70,000-$75,000

Schedule: Monday- Friday 9:00 am - 5:00 pm

This role will be fully onsite in Fort Lauderdale
