Currently, we are looking to add an Executive Assistant to our team:
Responsibilities and Duties:
  • Manage CEO's calendar by scheduling meetings, travel, and activities.
  • Coordinate all executive meetings, preparing materials and resources.
  • Prepare presentations, illustrations, reports, and documents for the CEO by gathering and consolidating information from a broad range of sources including peer-reviewed literature, internet searches, social media, and internal reports.
  • Make travel arrangements for executive team including itineraries, contacts, and separation of personal from corporate expenses.
  • Manage and maintain stockholder records, organize shareholder and board meetings.
  • Lead all company events, corporate gifts and recognition award programs.
  • Process, reconcile, and manage corporate/executive credit cards to ensure timely, accurate, and compliant financial reporting.
  • Maintain and distribute monthly reports from multiple divisions.
  • Create and post announcements on company intranet.
  • Handle occasional personal tasks that support executive efficiency.

Requirements:
  • Education: Bachelor's degree in business administration or related field preferred.
  • Experience: 5 years in an administrative role supporting executive management.
  • Computer Skills: Highly proficient in Microsoft Office (Excel, Outlook, PowerPoint, Visio, Word), and virtual meeting tools (Teams); basic video editing and graphics skills (Adobe Creative Suite) are a plus.
  • Excellent writing, editing, and verbal communication skills for both internal and external audiences.
  • Ability to proactively anticipate leadership and business needs.
  • Professional presence, handling sensitive information with integrity and discretion.
  • Availability to work on-site in Ann Arbor, Michigan during normal business hours.
