What is Excel accounting?

Excel accounting refers to the use of Microsoft Excel spreadsheets to manage, record, and analyze financial transactions for businesses or individuals. It involves creating templates and worksheets for tasks such as bookkeeping, budgeting, invoicing, and financial reporting. Excel is popular in accounting due to its flexibility, powerful calculation functions, and ability to generate charts and reports. However, it may lack some of the automation and security features of dedicated accounting software. Many small businesses use Excel accounting for its cost-effectiveness and customization options.

What are the key skills and qualifications needed to thrive as an Excel accounting professional?

To excel in Excel Accounting, you need a solid grasp of accounting principles, financial analysis, and advanced proficiency in Microsoft Excel, often supported by a degree in accounting or finance. Familiarity with tools such as pivot tables, VLOOKUP, macros, and experience with accounting software like QuickBooks or SAP is commonly required. Strong attention to detail, analytical thinking, and effective communication are vital soft skills in this role. These abilities ensure accurate financial reporting, efficient data management, and clear collaboration with stakeholders.

What are some common challenges faced by Excel accounting professionals, and how can they be addressed?

Excel Accounting professionals often encounter challenges such as managing large data sets, ensuring data accuracy, and preventing errors in complex formulas. To address these issues, it's important to utilize features like data validation, pivot tables, and conditional formatting to streamline workflows and minimize mistakes. Regularly auditing spreadsheets and maintaining organized, well-documented files also help ensure transparency and efficiency. Collaboration with team members is key, as sharing best practices and standardized templates can further reduce errors and improve overall productivity.

Job description

Schedule: Full-time | Primarily on-site, with future hybrid flexibilitySalary: $95,000-115,000 annually, depending on experienceJob Post Intro

Does the opportunity to make a meaningful impact and help an established small business reach its next stage of growth excite you?

Would you thrive in a visible, high-impact role where you work directly with company leadership and can see the results of your contributions?

Are you ready to build an accounting function, eventually develop a team, and grow toward a Director of Finance or CFO-level opportunity?

If you are a driven, hands-on accounting professional looking for meaningful responsibility, direct access to leadership, and long-term growth potential, Primo Designs would love to hear from you!

Founded in Springfield in 1985, Primo Designs began as a one-person screen-printing operation in the basement of the founderโ€™s uncleโ€™s duplex. Today, Primo is an established team that helps healthcare organizations, manufacturers, schools, and other businesses strengthen their brands through custom apparel, promotional products, signage, fulfillment, and company stores.

Primo is entering an exciting new chapter. The company is investing in new markets, stronger systems, automation, and its next generation of leaders - with the goal of doubling its revenue and creating new opportunities for its team.

Primoโ€™s core values guide how the team works:

  • We Are One Team
  • We Are Competitors
  • We Are Disciplined & Focused

This is not a position where you will be one small part of a large finance department. You will have direct access to company leadership, the freedom to improve processes, and the opportunity to see the results of your work across the entire organization.

Summary of Responsibilities

The Accounting Manager will take ownership of Primo Designsโ€™ accounting and financial reporting functions. Initially, this will be a highly hands-on role responsible for maintaining accurate books, managing cash flow, completing timely closes, and providing leadership with clear financial information.

As Primo grows, this individual will improve systems and controls, build the accounting function, and eventually develop and lead a supporting team. The Accounting Manager will report day-to-day to the General Manager while maintaining direct access to the owner and founder.

Essential Functions
  • Own the full accounting cycle, including general ledger activity, accounts payable, accounts receivable, bank reconciliations, payroll entries, inventory, cost of goods sold, and job costing.
  • Lead accurate and timely weekly and monthly closing processes.
  • Prepare and analyze financial statements, including the income statement, balance sheet, and cash-flow reporting.
  • Maintain short- and long-term cash forecasts to support operational and strategic decisions.
  • Monitor accounts receivable, accounts payable, inventory, and working capital.
  • Develop budgets, forecasts, variance analyses, and meaningful KPI reporting.
  • Ensure that data flows accurately between ShopWorks and QuickBooks Online.
  • Strengthen accounting policies, standard operating procedures, documentation, and internal controls.
  • Identify opportunities to improve workflows through technology, dashboards, integration, and automation.
  • Partner with company leadership to translate financial results into understandable, actionable business insights.
  • Coordinate with the companyโ€™s external CPA on tax filings, year-end reporting, and compliance matters.
  • Maintain organized records for CPA reviews, lender requests, and potential future audits.
  • Support banking and lender relationships, including required financial reporting.
  • Help build and lead the accounting team as the company continues to grow.
Education, Experience, and Skills Required
  • Bachelorโ€™s degree in Accounting, Finance, or a related field.
  • Five or more years of hands-on accounting experience, including at least two years in a senior or management-level role.
  • Strong full-cycle accounting experience, including AR, AP, GL, reconciliations, financial reporting, cash management, and month-end close.
  • Proficiency with QuickBooks Online and Excel or Google Sheets.
  • Small or midsized business experience required; manufacturing, inventory, COGS, or job-costing experience preferred.
  • Strong analytical, organizational, and communication skills.
Compensation
  • Base salary of $95,000-115,000 annually, depending on experience.
  • Employer contribution covering 50% of the employeeโ€™s health-insurance premium.
  • Dependent health coverage available at the employeeโ€™s expense.
  • Simple IRA with a 3% employer match.
  • Ten paid holidays.
  • Two weeks of paid vacation.
  • Flexible scheduling and potential hybrid flexibility after the individual has mastered the position and its processes.
  • Meaningful opportunity to build a team and grow toward Director of Finance or CFO-level responsibility.
