The Academic Services Assistant serves as the primary point of contact for an academic administrative suite, providing on-site support for a wide range of professional, customer service, and administrative duties within a School of Nursing environment.
The position supports various faculty governance groups and provides backup operational support for technology and facilities. It may also support other areas of the school as needed.
Education:
  • Two years of general office or secretarial experience; OR
  • An associate's degree or certificate in office occupations or office technology and one year of general office or secretarial experience; OR
  • A bachelor's degree and one year of general office or secretarial experience; OR
  • An equivalent combination of training and experience
Experience:
  • One year of general office or secretarial experience
Job-Related Knowledge, Skills, and Abilities (Competencies):
  • Demonstrated proficiency in Microsoft Word, PowerPoint, Excel, and database applications
  • Ability to take initiative and ownership of responsibilities
  • Strong interpersonal skills and ability to work with diverse groups including students, faculty, staff, and community partners

Key Responsibilities & Performance Standards:
1. Operational Support - Administrative Assistance for the School of Nursing
  • Front-line point of contact for the administrative suite, greeting faculty, staff, and students
  • Manage incoming mail and deliveries, including sorting and distribution
  • Coordinate ordering and stocking of office and breakroom supplies
  • Provide backup technology support, including:
    • Online teleworking and multimedia support for faculty, staff, and students
    • Triage of classroom and conference room technology issues
    • Support for virtual meeting platforms and facilitation of online meetings and events
  • Provide backup support for operational coordination functions, including:
    • Reporting urgent maintenance needs to facilities teams
    • Supporting emergency preparedness activities as assigned
  • Provide general administrative support to leadership and academic programs as needed
  • Assist with exam proctoring for academic programs
2. Faculty Governance Support
  • Support faculty governance groups by:
    • Managing schedules, agendas, and meeting minutes as needed
    • Collecting and distributing meeting materials
    • Maintaining shared governance documentation platforms
    • Providing technical support for virtual meetings
    • Performing additional administrative tasks as assigned
3. Events Support
  • Assist in planning and executing school-wide events, including:
    • Staff and faculty celebrations
    • Lectures and academic events
    • Recognition and appreciation events
    • Student orientation, graduation, and completion ceremonies
  • Provide logistical and administrative support as needed for event execution
