Responsibilities
  • Manage and oversee all event bookings for the PCL Business Park, ensuring accuracy, efficiency, and adherence to company policies.
  • Serve as the primary point of contact for event inquiries; monitor shared inboxes and respond in a timely, professional manner.
  • Provide expert calendar and scheduling management for all events and related resources.
  • Plan and manage event inventory, supplies, and stock levels.
  • Coordinate event logistics, including space planning and set-up/tear-down requirements, in collaboration with the facilities and maintenance teams.
  • Oversee and supervise event execution on-site.
  • Conduct site inspections before, during, and after events to ensure standards, safety best practices, and quality control measures are met.
  • Proactively identify operational or logistical challenges related to events and work with stakeholders to develop solutions or alternative approaches.
  • Participate in internal committees to support event planning initiatives.
  • Assist in establishing, documenting, and maintaining event processes, procedures, and best practices.
  • Perform other duties as assigned to support business and operational needs.
Qualifications
  • Post-secondary education in Event Management, Hospitality, Business Administration, or a related field, or an equivalent combination of education and experience.
  • Minimum 2-4 years of experience coordinating or supporting events, facilities operations, hospitality, or administrative scheduling in a corporate environment.
  • Strong organizational and scheduling skills, with demonstrated experience managing event calendars, bookings, and logistics with a high level of accuracy and attention to detail.
  • Experience working collaboratively with multiple departments, committees, and operational teams.
  • Strong written and verbal communication skills, with the ability to communicate professionally and courteously with internal stakeholders and event organizers.
  • Proven ability to manage multiple priorities and deadlines in a fast-paced environment.
  • Demonstrates strong critical thinking and risk mitigation skills, including experience supporting site inspections, quality control, and safety best practices.
  • Proficiency in Microsoft Office Suite and other specialized software, with experience creating templates, forms, and processes as required.
  • Flexible to accommodate work outside regular business hours to support event requirements.
  • Must be able to climb stairs and stand for periods of time. Ability to lift and carry up to 20 pounds consistently.
