Description

JOB SUMMARY:

The Admissions Counselor represents Bay Path University and serves as the primary point of contact for the admissions office and all admissions-related events and activities, ensuring compliance with state and federal regulations. This position focuses primarily on direct student recruitment, ethically communicating the value of a Bay Path education, program features, admission requirements, financial assistance, and other essential information to prospective students and their families.

ESSENTIAL JOB FUNCTIONS:

Territory Management & Recruitment

  • Manage enrollment services, new student recruitment, community outreach, and promotional events within an assigned geographic territory

  • Develop and strengthen assigned territory by researching trends, demographics, and identifying growth opportunities

  • Counsel and effectively communicate with prospective students and their influencers (e.g., family members, guidance counselors, coaches, etc.) on the enrollment process, academic programs, co-curricular activities, financial aid, student services, campus facilities, graduate outcomes, and pathways for graduate degrees through a variety of venues

  • Build relationships with students, influencers, and guidance counselors; present information regarding the university, program offerings, structure, accreditation, and cost in an accurate and ethical manner

  • Positively interact with students and influencers; schedule and conduct interviews, pursue qualified candidates for enrollment, and determine appropriateness of candidates based upon career goal compatibility

  • Evening and weekend hours required to conduct recruitment travel, on-campus admissions events, admissions candidate outreach, file reviews, and general office coverage throughout the year; must be flexible and able to travel extensively 8-12 weeks in the fall and 4-6 weeks in the spring, including overnight travel; rental car provided for recruitment-related travel

Event Planning & Marketing

  • Assist with the development and implementation of marketing and recruitment strategies for assigned territory and auxiliary responsibilities, such as informational workshops, college visitations, and tours

  • Plan, organize, and coordinate office and marketing activities, recruitment and new student orientation programs, open houses, regional and community presentations, career days, and campus-wide recruiting events

Compliance & Systems

  • Comply with all necessary systems and data entry requirements to effectively maintain student records and account for outreach efforts; work within the customer relationship management (CRM) system and any other software required

  • Read and review applications; provide admission recommendations for domestic and international applicants

  • Ensure compliance with all state and federal regulations related to admissions and student records, including FERPA and HIPAA guidelines

Other Duties

  • Perform other duties and take on additional responsibilities as requested by the University

REQUIRED SKILLS/ABILITIES/KNOWLEDGE:

  • Excellent communication skills, including writing, proofreading, and speaking

  • Excellent interpersonal skills, both in person and by phone, with high professionalism

  • Ability to manage multiple projects and work assignments from a variety of staff and volunteers

  • Ability to accomplish projects and meet required deadlines with little supervision

  • Exceptional customer service ethic and high expectations for quality

  • Working knowledge of Microsoft Word, Excel, PowerPoint, and customer relationship management software

  • Valid U.S. driver's license; ability and willingness to travel independently, primarily by automobile, to various locations and events

  • Must successfully pass the online Safe Driving Course (within 15 days of hire) and driving record check at time of hire and annually thereafter

  • Ability to handle confidential information with discretion and within FERPA and HIPAA guidelines

  • Willingness and ability to work a flexible and extended schedule, including weekends, evenings, and overnights for peak Fall and Spring recruitment seasons (8-12 weeks in the fall, 4-6 weeks in the spring)

  • Ability to adhere to University policies and procedures

  • Ability to represent the admissions profession positively through a strong, student-centered ethic

  • Commitment to a culture of diversity, equity, respect, and inclusion; demonstrated ability to build working relationships with people having a wide variety of backgrounds, perspectives, and experiences different from one's own
