About the role
Exec. Administrative Assistant, Regional President
The Executive Admin will support and manage a full range of executive level activities for the President of the region. This will include calendar management and the coordination of meetings; meeting logistics and travel planning; communications, confidential correspondence and support for all team members when preparing and uploading board or external presentations; event planning and acting as the face of Reworld when needed.
Position Responsibilities
  • Manages and maintains the schedules using Microsoft Outlook, including arranging departmental meetings
  • General administrative duties including: answering telephones, setting up conference calls, meetings, lunch meetings, copying, payroll approvals
  • Coordinates travel itinerary and makes travel arrangements; prepare expense reports
  • Draft communications
  • Reads and analyzes incoming e-mails, memos, submissions, and reports in order to determine their significance, respond/take action as appropriate and plan their distribution
  • Submit vendor invoices for payment into financial system and maintain status log
  • Handle all aspects of new hires setup/coordination
  • Order and maintain supplies for the department
  • Need to support other leadership and other VP level individuals
  • Coordinate and plan Sales conferences, regional events, corporate meetings and employee events
  • Management of regional data and reporting as needed
  • Assistance with productivity projects in the region
  • Other tasks as assigned

Required Qualifications
  • Minimum 7 years of administrative experience
  • Associate degree, or appropriate formal training in a related discipline, or equivalent business experience
  • Extremely knowledgeable in Microsoft Word, Excel, PowerPoint and Outlook
  • Well organized with strict attention to detail
  • Ability to multi-task and prioritize work assignments
  • Exceptional experience with calendar management, time & expense management support, meeting coordination, meeting support planning
  • Available to work overtime as necessary
  • Display a great deal of initiative
  • Strong interpersonal skills and a team player
  • Knowledge of and adherence to all company policies and procedures

Preferred Qualifications
  • Previous experience in an Accounting or Finance related department highly preferred

The range below reflects Reworld's reasonable estimate of base pay for this role based on primary posting location. It is expected that most qualified candidates in this location will fall within the posting range. The final salary offered for this role will be determined based on factors including, but not limited to: experience, education, geographic location, skills and competencies, travel requirements and/or union contracts (if applicable). Pay ranges are reviewed from time to time and may be modified in the future.
The pay range for the primary location of this position is: 33.22 - 44.18 USD per hour
